    Dear @Karina Fielden

Thank you for posting your question in the Microsoft Q&A forum.

I understand how inconvenient it can be when the Breakout Rooms option does not appear during your meeting. Based on your description, the Breakout Rooms button usually does not show up when one of the required conditions is not met. To help you quickly identify the cause, please follow the steps below:

Step 1: Confirm your account and meeting requirements

Breakout Rooms are available for Microsoft 365 Education licenses such as A1, A3, and A5.

    • To verify your license, please sign in your school at office.com > Apps > All apps > Install apps > Microsoft 365 apps > Subscriptions.

After confirming your license, please sign out of the Teams desktop app and sign back in to refresh your settings.

Next, please ensure the following conditions are met:

    1/ Meeting role:

You must be either the meeting organizer or assigned as a co-organizer or breakout room manager.
If the organizer belongs to another organization and you join as a guest, you will not see organizer controls unless they assign you as a co-organizer.

    2/ Teams desktop app:

Breakout Rooms can only be created from the Teams desktop app for Windows or macOS.

The option will not appear on the web version, mobile, Linux, or VDI environments.

    3/ Meeting type:

Breakout Rooms are only supported in standard meetings:

If the meeting was created in a private or shared channel, the Breakout Rooms option will not be available.

    4/ Participant limit:

The feature is available only when the meeting has 300 participants or fewer.

    • After confirming the points above, please create a new standard meeting, join it and check if the Breakout Rooms option appears in the meeting controls. From there, you can select the number of rooms, choose automatic or manual assignment, and create the rooms when ready.

Breakout rooms can only be created by the meeting organizer and only from the Teams desktop app (Windows or Mac). If the Rooms/Breakout rooms button is missing, check these points:

    1. Use the desktop app, not web or mobile
Breakout rooms require the full Teams desktop client. Install and sign in to Teams for Windows or Mac and join the meeting from there.
    2. Be the meeting organizer
Only the person who scheduled the meeting sees the Rooms / Breakout rooms button. If joining a meeting organized by someone else, the option will not appear.
    3. Join the meeting, then look for the Rooms button
During the meeting, on the meeting controls bar:
      1. Look for Rooms or Breakout rooms.
      2. Select it.
      3. Choose how many rooms to create and how to assign participants (Automatically or Manually).
      4. Select Create rooms and then Start rooms.
    4. Set up rooms before the meeting (optional)
If already the organizer of a scheduled meeting:
      1. In Teams, go to Calendar and open the meeting.
      2. Select View event.
      3. Choose More options > Breakout rooms.
      4. Create rooms and configure assignments; they will be ready when the meeting starts.

If all of the above are true (desktop app, organizer role, scheduled/active meeting) and the button still does not appear, an admin policy may be restricting the feature and an administrator should review Teams meeting policies in the tenant.
