I have had Microsoft 365 for years for my email. I've also had Office for years. I'm trying to get Outlook loaded onto a new laptop and the prompt is requiring me to pay more money to download the software. Why am I getting charged more?

Several different situations in Microsoft 365 and Office can cause an unexpected extra charge or a prompt to “pay again” when installing Outlook on a new laptop:

    1. Mac App Store vs. Microsoft download (for Mac users)
If Outlook (or Office apps) is downloaded from the Mac App Store, it always requires an active Microsoft 365 subscription to create and edit content or send/receive email. One‑time (perpetual) Office licenses such as Office 2019 or Office 2016 do not work with Mac App Store versions. In that case the app will prompt for a subscription purchase even if a perpetual license already exists.
To use a perpetual Office license, Outlook and the other Office apps must be downloaded directly from Microsoft, not from the Mac App Store.
    2. Perpetual Office vs. Microsoft 365 subscription
A one‑time Office license (for example, Office 2019 Home & Business) is different from a Microsoft 365 subscription.
      • Microsoft 365 is a subscription that must be active and renewed; if it expires, apps go into reduced functionality mode and will prompt to reactivate or pay.
      • Perpetual Office is a one‑time purchase tied to the specific product key and edition; it does not unlock subscription‑only builds (such as Mac App Store apps) and does not provide Microsoft 365 cloud benefits.
    3. Expired or changed Microsoft 365 subscription
If the Microsoft 365 subscription used for Outlook has expired or changed, Outlook on a new device will show prompts to pay or reactivate. When a subscription expires, Office apps go into reduced functionality mode and display subscription or activation notices until the subscription is renewed.
    4. Multiple or overlapping Microsoft 365 subscriptions
A single Microsoft account can only have one active Microsoft 365 for home subscription (Family or Personal) at a time. Adding another subscription with the same account does not give extra installs; it only extends time. If a second subscription was purchased under a different account or through a retailer, it can appear as an extra or duplicate charge.
    5. Charges from different sellers (Microsoft vs. retailer)
It is possible to be billed by Microsoft and also by a third party (for example, a retail store or online marketplace) for separate Microsoft 365 subscriptions. This can look like being charged “again” even though they are technically different subscriptions.

    To resolve:

    • If using a Mac and a one‑time Office license, uninstall the Mac App Store version of Outlook/Office and install the Office apps directly from Microsoft so the perpetual license can be used.
    • If using a Microsoft 365 subscription, sign in with the same Microsoft account that owns the subscription and verify that it is active and not expired.
    • If there are unexpected or duplicate charges, sign in to the Services & subscriptions page to see what subscriptions are active and who is billing, then contact Microsoft 365 Billing Support or the retailer (if purchased through a store) to correct or cancel extra subscriptions and request any eligible refunds.
