It can certainly be confusing when two files in the same library behave differently. Based on my research, this issue is usually not caused by SharePoint permissions themselves, but rather by a file‑level attribute, library configuration, or metadata requirement that is placing a restriction on a specific document.
Even when permissions are identical, the following factors commonly cause one file to open in Read‑Only while another opens in Edit mode. Please review the steps below to see if any of them apply.
1.Check‑out status
If another user or even you on a different device has the document "Checked Out," it will be locked for editing for everyone else.
- Look at the file icon in the SharePoint list.
- Do you see a small red down-arrow on the file icon?
- Right-click the file and select More > Check in. If it was checked out by someone else, you may need to ask them to check it in or have a Site Admin "Discard" the checkout.
2.Protected View in the Office desktop app
Sometimes the restriction comes from the Office desktop application rather than SharePoint itself.
- Open the "Read-Only" file.
- Look for a yellow bar at the top that says "Protected View" or "Enable Editing."
- Go to File > Options > Trust Center > Trust Center Settings > Protected View. Uncheck "Enable Protected View for files originating from the Internet"
- Close and reopen the file to test
3.Sensitivity labels
If your organization uses Sensitivity Labels, different labels can enforce different editing behaviors.
- Right‑click the file that opens as Read‑Only
- Select Details
- Check the Sensitivity label applied to the file
For example, a file labeled Internal may allow editing, while a file labeled Confidential may restrict editing to specific users or devices.
