Excel and Word refusing to save and locations saying they are unavailable

Hi

I'm getting a message saying that Word and Excel won't permit changes because of a security issue.

I've checked for viruses and am told the system is fine with no issues.

When I try to save into a folder on the cloud / documents /folder/sub folder it displays the route and says "file not found"?

I can save to cloud / desk top?!

I cannot however save into cloud /documents - suggesting the issue in the file tree is that despite the screen displaying the documents folder (and all the sub folders in it) the system cannot find the documents folder.

To add to the confusion if I go into cloud / documents / folder / sub folder I can open the documents in it including excel and word but if I amend them i.e. put ABC into a cell it will no allow me to save even if trying to "save as" with a different name into Documents or any sub folder but it will allow me to save into Cloud/Desktop

Any ideas what setting I may have accidentally changed (seems the most likely scenario) or whether a Windows 11 update has upset the system, seems less likely?

Many thanks

Richard

    Hi Richard Hall,

Thank you for the detailed explanation.

From your description, the behavior you’re seeing is typically related to how Windows manages protected folders or cloud‑synced locations, rather than an issue with the files themselves.

Windows may restrict changes to certain folders (like Documents) when additional security controls or cloud folder redirection are in place. In these cases, files can still open normally, but saving changes may be blocked or redirected, which can result in messages such as “file not found” or changes not permitted.

Please try these possible checking steps to resolve this:

1, Check folder protection settings - This allows trusted Office apps to save changes in protected folders.

    • Open Windows Security
    • Select Virus & threat protection
    • Open Ransomware protection
    • If Controlled folder access is on, add Word and Excel as allowed apps

2, Confirm cloud sync status for Documents - A disconnected or partially synced folder can appear available but block saving.

    • Open OneDrive
    • Ensure you are signed in and syncing without errors
    • If Documents is backed up to the cloud, temporarily pause and resume sync

3, Restore the Documents folder location - This refreshes the folder path Windows uses for saving files.

    • Right‑click Documents
    • Select Properties > Location
    • Choose Restore Default, then apply

If you need to continue working right away:

    • Save files to Desktop
    • Then move them into Documents using File Explorer

This avoids restricted paths while settings are adjusted.

The behavior matches a save/location problem rather than a virus or general security issue. Several known causes from Office and OneDrive integration can produce exactly this pattern (can open from a OneDrive-synced “Documents” path but cannot save back there, while saving to Desktop works).

Try these targeted checks and fixes:

    1. Verify permissions on the Documents folder
    • The error “file not found” or “changes could not be saved” can occur if the account does not have Modify and Delete rights on the target folder.
    • In File Explorer, right‑click the Documents folder that is under the cloud location, choose Properties → Security, and confirm the signed‑in user has at least Read, Write, Modify, Delete permissions.
    • If Documents is on a network or cloud‑mapped location, ensure the account used for that location also has Modify and Delete rights. Lack of these rights is a known cause of “changes could not be saved” when saving Office files to a network/cloud folder.
    1. Check OneDrive / cloud sync and Files On‑Demand
    • If the Documents folder is under a OneDrive‑synced path, OneDrive’s Files On‑Demand feature can create placeholder (“fake”) files and sometimes block saving or overwriting existing Office files.
    • In the OneDrive settings (cloud icon in the notification area), temporarily turn off Files On‑Demand and let OneDrive fully sync the Documents folder locally.
    • After disabling Files On‑Demand and confirming the files are fully available offline, try saving again into cloud/Documents/folder/subfolder.
    1. Confirm there is enough disk space
    • Office requires free space on the local disk and on the target volume to create a temporary file and then rename it.
    • If the disk that holds the synced Documents folder is low on space, Excel and Word may fail to save and show path or security‑style errors. Free up space and test again.
    1. Test for interference from antivirus or other software
    • Some antivirus products scan new or changed files immediately and can interrupt Office’s save process, especially when saving over an existing file in a synced folder.
    • Temporarily disable real‑time antivirus scanning (if safe to do so) and test saving a small Word or Excel file into the Documents path.
    • If saving works with antivirus disabled, check for an updated version of the antivirus or add an exclusion for the OneDrive/Documents path as recommended by the antivirus vendor.
    1. Check for third‑party Office add‑ins
    • Add‑ins can interfere with saving, particularly when saving to cloud‑synced locations.
    • Start Excel or Word in Safe Mode (hold Ctrl while starting the app and choose Yes when asked to start in Safe Mode).
    • Open a test file from cloud/Documents/folder/subfolder, make a small change, and try to save.
      • If saving works in Safe Mode, disable or remove third‑party add‑ins and test again normally.
    1. Try saving to an alternate path and copying back
    • As a temporary workaround, save the file to a location that works (for example cloud/Desktop), then use File Explorer to copy or move the file into cloud/Documents/folder/subfolder.
    • If copying also fails or shows an access error, the issue is definitely with permissions or the sync client on the Documents path.
    1. Check for path length issues
    • If the full path (including file name) under cloud/Documents/folder/subfolder is very long (approaching or exceeding ~218 characters), Office can fail with “file name not valid” or similar path errors.
    • Try saving the file higher up in the tree (for example directly under cloud/Documents) with a shorter name and see if that succeeds.

If the problem started recently and only affects the Documents tree under the cloud location, the most likely causes are:

    • Permissions on that Documents folder changed (no Modify/Delete rights), or
    • OneDrive/Files On‑Demand or another sync mechanism is blocking overwrite/save operations in that path.

Addressing those two areas (permissions and OneDrive Files On‑Demand) usually restores normal saving behavior.
