I'm admin of MS365 Business Standard. I bought 9 ESD keys for 9 existing users. Because I was not able to check current licence epr. date, I decided to use these 9 ESD today. But I made a mistake probably. Instead of choosing "extending" I added new licences. So now I have 18 licences and 9 users. Please advice what shallI do? Wait till "old" lineces epires and then assign new to users, or....?

Looking your support

    Dear @Artemislift Artemislift,
Thank you for your update. To address your questions directly:

    • Your 9 existing users remain fully licensed and are working normally, there has been no service interruption.
    • You now have 9 additional (unused) licenses available. These can be assigned to new users at any time without purchasing more licenses.
    • The payment you made for 9 additional user‑years extended the overall subscription term, rather than creating a separate or overlapping subscription.
    • There is no wasted overlap, this scenario is actually beneficial, as you gained extra licenses and a slight extension of the renewal date.
    • You don’t need to wait for anything to expire. Everything has been fully consolidated into a single subscription.

In short: You can safely leave the setup as it is. This is a common and supported scenario. If, in the future, you only need 9 licenses again and want to reduce costs, you can remove the unused licenses, but this is optional and only affects future billing.

How to check the subscription expiration date:

The date shown in your screenshot is the key date, as it represents the renewal or expiration date for the entire subscription. All licenses under the same product (for example, Microsoft 365 Business Standard) share the same renewal date.

To verify this at any time:

    1. Go to Microsoft 365 admin center > Billing > Your products.
    2. Locate Microsoft 365 Business Standard.
    3. Check:
      • Subscription status: Active
      • Renewal date / Next billing date: This is the expiration date for all licenses in that subscription.
      • If recurring billing is enabled (usually shown by a circular arrow icon), Microsoft will automatically charge for the current license quantity (for example, 18 licenses) on that date.
      • For more details, click the product name to expand it and view renewal information, billing amount, and history.

If you’d like to see historical purchase details:

Go to Billing > Bills & payments. The redemption of the additional licenses should appear there with its activation date.

If you later decide to return to only 9 licenses:

    1. Go to Users > Active users.
    2. Remove licenses from unused accounts (ensure at least 9 licenses remain assigned to active users).
    3. Reducing the quantity does not refund past payments, but it will lower future renewal charges.

I hope this answers your questions and provides a clear path forward. If you have any additional questions or need further assistance, please don’t hesitate to reach out. I’m always happy to help. Have a wonderful day!

For prepaid Microsoft 365 subscriptions, selecting Add licenses with a product key increases the number of licenses and shortens the remaining term; it does not create a separate “new” pool of licenses. The system averages the time across all licenses into a single end date.

Because of that behavior, there is no need to wait for “old” licenses to expire or to reassign anything. The 18 licenses and their new end date already reflect the combination of:

    • Existing 9 licenses with their remaining time, plus
    • The 9 new licenses with 12 months each,

averaged into one subscription term for all 18 seats.

If fewer than 18 licenses are actually needed, the only supported way to reduce license count in a prepaid scenario is at the next renewal by redeeming a product key that contains the lower number of licenses and first unassigning any extra licenses so that the total assigned does not exceed the new count.
