Outlook email filter issue

when we send out a scan to email and use as the email provider outlook email test works and it scans and goes to the sent items folder but since the scanner is adding this wording to the body of the message "Attached Scan Data" it’s not forwarding that email to the contacts if we go to the sent items mailbox we see the scanner sent the message and if we resend email and remove that body wording of "Attached Scan Data" email gets sent out. Same issue applies if we just open up Outlook and send an email to a recipient and just have the body state attached scan data user will never get email

    • Is this mailbox an Outlook.com (personal) account or a Microsoft 365/Exchange Online (work/school) account? Personal outlook.com
    • Is “forwarding” configured via Outlook on the web (Settings > Mail > Rules/Forwarding), or via a rule in Outlook desktop? no rules or fowarding
    • Are the recipients internal or external, and how many recipients are in the rule (multiple individual contacts or a single group)? external and different domains and can replicate it on demand
    • Also, please confirm: if you send a test email manually (not from the scanner) with the body text exactly “Attached Scan Data”, does the recipient receive it? the is correct I have done extensive testing and have isolated down to exactly that if the body of the email only has attached scan data the email will go from the outbox to sent items but the recipients will never receive it if you happen to add any other body language or shorten the wording to “attached scan” it works but if email body as “attached scan data” they will never receive it it appears some type of auto outbound filtering rules on Microsoft end to possibly address bulk spamming

    Hi Vestuto Scanner,

    Welcome to Microsoft Q&A forum.

To quickly narrow down whether this is related to rules/forwarding or a policy/limit, please share:

    • Is this mailbox an Outlook.com (personal) account or a Microsoft 365/Exchange Online (work/school) account?
    • Is “forwarding” configured via Outlook on the web (Settings > Mail > Rules/Forwarding), or via a rule in Outlook desktop?
    • Are the recipients internal or external, and how many recipients are in the rule (multiple individual contacts or a single group)?
    • Also, please confirm: if you send a test email manually (not from the scanner) with the body text exactly “Attached Scan Data”, does the recipient receive it?

Once I have the information above, I’ll review it and provide the appropriate next steps.
