Follow these steps depending on what is still accessible:

    1. Try other sign-in methods
When signing in, choose “I don’t have my Microsoft Authenticator app” or similar, and use any other method already set up on the account (SMS, email, etc.).
      If another method works, immediately:
      • Go to your Microsoft account SecurityAdvanced security options.
      • Remove the old phone’s Authenticator method under Ways to prove who you are.
      • Add Microsoft Authenticator again on your new phone.
    2. If you still have another device signed in (PC or browser)
If the account is still signed in on a Windows PC or browser session:
      • Open the Microsoft account security page.
      • Under Ways to prove who you are, remove the old Authenticator entry (for example, under “Send sign-in notification” with your old device name).
      • Add new sign-in methods (new phone with Authenticator, SMS, email) before signing out anywhere.
    3. If you cannot access any recovery method or backup account
If no backup sign-in method works and the backup account used for Authenticator recovery is also inaccessible, support agents cannot restore Authenticator credentials.
      • Use the Microsoft account sign-in helper to try to regain access to the Microsoft backup account: Sign-in helper.
      • If that succeeds, set up new security proofs (phone, email, Authenticator on the new device) and remove the old device.
    4. If Authenticator backup exists on Android
      On a new Android phone:
      • Install Microsoft Authenticator.
      • Before signing in, select Restore from backup or Begin recovery. If already signed in, sign out and reopen the app, then choose restore.
      • Sign in with the same personal Microsoft account used for the original backup.
      • For Microsoft accounts that were passwordless or work/school accounts, only the account names are restored; each will show Sign in to restore your account or Action required. Tap each account and sign in again to re-activate it.
    5. If unable to restore Authenticator credentials at all
If recovery of Authenticator data is not possible, accounts must be added to Authenticator again using their original setup (QR codes or secrets) after regaining access to each service.
