The Learn profile and its data are not tied to the continued existence of a school email inbox, but to the Microsoft account used to sign in. When the school disables the account, access to that sign-in is lost, but the Learn data associated with it is not automatically wiped. To avoid losing access, the Learn profile should be linked to a personal Microsoft account and, if needed, profiles can be merged so all learning and certification data is under a personal account.
To protect and consolidate the certifications, badges, and completions:
- Add a personal (MSA) account to the existing Learn profile
- Sign in to the Learn profile using the current school account.
- Go to Learn Profile settings: https://learn.microsoft.com/en-us/users/me/settings
- Under Account Management, add the personal Microsoft account as another login.
- Verify that at least one account shows the MSA icon, confirming a personal account is linked.
- This ensures learning and credential data stays accessible even if the school account is later disabled.
- Merge Learn profiles if there are separate school and personal profiles
- If there is already a separate Learn profile under the personal account (with its own badges/completions), the profiles can be merged.
- When Learn profiles are merged, all learning data, including certification data, is combined into a single profile.
- Follow the guidance under “Can I merge Learn Profiles?” in the Learn profile FAQ to complete this process.
- Keep a copy of the transcript and credentials
- After consolidating accounts, go to the Learn profile page and select Transcript to view all training and credential history, then print or save it (for example, as PDF) for personal records.
- Under Credentials, use the Certifications and Applied Skills tabs to view and share credentials as needed.
- Do not delete the Learn profile
- Using the “Delete your profile” option in settings will permanently remove all user data (certifications, learning history, achievements, etc.) and it cannot be recovered. To preserve data, only add/merge accounts; do not delete the profile.
This approach ensures that when graduation occurs and the school email is disabled, all certifications, badges, and learning history remain accessible through the personal Microsoft account.
