For a newly added Gmail account in Outlook for Mac, limited mail and missing attachments are expected behavior while the mailbox is still synchronizing and due to Google data limits.
Key points from current behavior and known issues:
- Initial sync can take a long time
- If the Gmail mailbox is large, Outlook for Mac may take a long time to download the complete mailbox because of data limitations with Google.
- New email will send and receive immediately, but older messages can take up to a few days to appear.
- During this period, it is normal to see only recent mail (for example, the last couple of months) in the Inbox.
- Attachments may not all be available immediately
- When only message headers are downloaded first, bodies and attachments are pulled down as needed.
- Until the full sync completes, some older messages and their attachments will not yet be available in Outlook.
- Advanced IMAP settings location
- To review advanced IMAP settings in Outlook for Mac (for IMAP-type accounts):
- In Outlook, select Outlook > Settings.
- Select Accounts and choose the IMAP account.
- Select Advanced.
- Options there include:
- Download headers only (controls whether only headers or full messages are downloaded).
- Sync all IMAP folders every x minutes.
- Use IMAP IDLE (if the server supports it) for continuous updates.
- To review advanced IMAP settings in Outlook for Mac (for IMAP-type accounts):
- What to do next
- Leave Outlook open and connected for an extended period (potentially a few days) so it can finish downloading older Gmail messages.
- If using an IMAP configuration and “Download headers only” is enabled, open messages that must be available offline so Outlook downloads their full content and attachments.
- If the account was recently removed and re-added using “Sign Out On All devices,” be aware that re-adding the same Google account can take several hours before it fully reconnects and syncs.
If, after several days of being left connected, older mail still does not appear, verify in Gmail via a browser that the older messages exist and are not under labels/folders that Outlook has not yet synchronized.
