You can delete messages from your Archive folder in Classic Outlook for Windows (Business / Microsoft 365 work account) to free up mailbox storage. The key point is that Archive still counts toward your mailbox quota unless you permanently delete the messages.
1/ Manual deletion from Archive folder:
First, you have to access the Archive folder. In the Outlook navigation pane (usually on the left), locate the ‘Archive’ folder. If the archive is in a .pstfile, you might need to manually add it to Outlook by going to File > Open & Export > Open Outlook Data File.
- Select Emails: Choose the emails you wish to delete. You can select multiple emails using the
Ctrlkey while clicking on individual messages. For contiguous selections, click the first email, hold theShiftkey, and click the last email. - Delete: Right-click on the selected emails and choose ‘Delete’. Alternatively, press the
Deletekey on your keyboard.
Note:
- Deleted emails are moved to the ‘Deleted Items’ or ‘Trash’ folder. To permanently remove them, you must empty this folder as well.
- This method can be time-consuming for large archives.
2/ Bulk deletion
For deleting a significant number of emails, Outlook offers bulk deletion techniques.
Method 1: Using search filters andCtrl + A
- Access the Archive Folder: Navigate to the Archive folder.
- Apply Filters: Use the search bar at the top of the Outlook window to filter emails based on date range, sender, subject, or other criteria. This helps narrow down the selection. For example, using
received:01/01/202x..31/12/202xwill filter emails received within that specific year. - Select All: Once the filtered emails are displayed, press
Ctrl + Ato select all emails in the current view. - Delete: Press the
Deletekey or right-click and choose ‘Delete’.
Method 2: Deleting Entire Folders Within the Archive
- Identify Folder: Determine which subfolder within the Archive you wish to remove.
- Right-Click and Delete: Right-click on the folder and select ‘Delete Folder’.
- Confirmation: Confirm the deletion when prompted. Note: This action permanently deletes the folder and all its contents.
Filtering by date range may not be reliable if message timestamps are inaccurate. Additionally, deleting large folders can be time‑consuming, particularly when the archive is stored on a network location.
You can also use Mailbox Cleanup to identify large or old archived messages.
- Select File > Tools > Mailbox Cleanup.
- Select View Mailbox Size, Find items older than, Find items larger than, View Deleted Items Size, Empty Deleted Items folder, View Conflicts Size, or Empty Conflicts to perform your desired task.
