    Hi @RAGAVENDAR SWAMINATHA SUBRAMANIAN,

Thank you for reaching out. Based on experience, one common reason these emails or attachments are being blocked is due to Outlook’s built‑in security protections. Outlook has long included features designed to block attachments or links that may pose a potential security risk. Even if a file is legitimate, certain file types, links, or shortened URLs can still be flagged automatically as a precaution to prevent malware or phishing attacks.

There are a few things you may try to reduce this behavior. If you’re in contact with the sender, you can ask them to upload the file directly to a trusted cloud location such as OneDrive or SharePoint and then share the access link instead of sending the attachment itself. Another option is to ask the sender to compress the file using a tool like WinZip or to temporarily rename the file extension before sending, as this sometimes prevents automatic blocking.

You may also want to add the sender’s domain to your Safe Senders list in Outlook, provided you’re confident the sender is legitimate. This can help Outlook trust future emails from that source.

If the issue continues despite these steps, I would recommend reporting this to your organization’s IT administrator or security team. They have visibility into your organization’s mail protection policies and can verify whether these emails are being blocked by Microsoft Defender, Exchange Online Protection, or other security rules in place.

I hope this gives you some clarity and helps point you in the right direction. If you have any additional details or updates, feel free to reply here and I’ll be glad to assist further where I can.

Those messages are phishing and should continue to be treated as junk; do not open the attachment or select any links.

To handle and reduce these messages in Outlook.com / Outlook on the web:

    1. Do not trust the sender name or subject
Phishing messages often imitate brands (for example, DocuSign, OneDrive, SharePoint) and use urgent wording like “Please sign final agreement.” Misspellings or unusual combinations in the sender name or address are a strong sign of a scam.
    2. Report each message as phishing (recommended)
In Outlook.com / Outlook on the web:
      • Open the message.
      • Use the menu (usually Junk or Report on the toolbar).
      • Choose Phishing (not just Junk) so Microsoft can improve filtering for this and similar attacks.
    3. Keep security protections on
      • Do not change the message to “It’s not junk.” That would allow access to the blocked attachment and weaken protection.
      • When Microsoft 365 blocks an attachment or file as potentially malicious, leave it blocked or delete the message. This protects the account and device from malware.
    4. Delete the message
After reporting it as phishing, delete it from Junk and then empty Deleted Items to remove it completely.
    5. General safety practices
      • Never open attachments or select links in suspicious messages.
      • Never reply to emails asking for personal, sign‑in, or payment information.
      • If an email appears to be from a company (for example, a signing service or cloud storage), go directly to that company’s official website by typing the address in the browser instead of using links in the email.

If similar messages continue at high volume, repeat the report‑as‑phishing action consistently; this helps Microsoft’s filters learn and route them to Junk automatically.
