Setting up location on Bookings with Me

Question

When using Bookings with Me clients need options for a meeting location. The choices can vary from the family residence, via Zoom, at Parent Sanctuary, or at a community location. How can I set that up?

For Bookings with me (Personal Bookings), It is to create separate meeting types and configure each meeting type with its own location and meeting mode (online or offline). In other words, attendees choose the appropriate meeting type (for example, “Intake - Family residence” vs. “Intake - Parent Sanctuary”). Create a new meeting type in Bookings

Steps to choose the location:

Go to Bookings - Outlook > Edit/create a meeting type > fill Title/Description > set the Location field.

In addition, Bookings with me uses your Outlook calendar availability to show open slots, and once someone books, the appointment is added to your calendar, which blocks that time from being offered again (across all your meeting types). More specifically, Bookings with me is described as being integrated with Outlook calendar and advertising availability “based on your calendar,” letting attendees reserve time slots accordingly.

Important reminder to ensure your availability is displayed correctly

If you block time with an all-day event, Outlook often sets it to Free by default, so Bookings with me may still show you as available. Bookings with me calendar doesn’t honor user’s personal calendars - Microsoft Support

Bookings with me (Personal Bookings) does not provide a configurable list of multiple physical/virtual locations per meeting type in the same way that Shared Bookings “services” do. Each meeting type has a single location configuration (for example, online via Teams or a specific place), and customers choose the meeting type rather than choosing from multiple locations at booking time.

To support different locations such as “family residence,” “via Zoom,” “Parent Sanctuary,” or “community location,” create separate meeting types for each location and describe the location clearly in the meeting type name and details. For example:

• “Intake – Family Residence”
• “Intake – Zoom”
• “Intake – Parent Sanctuary”
• “Intake – Community Location (details arranged by email)”

Then:

1. Go to the Personal Bookings (Bookings with me) page.
2. Edit an existing meeting type or create a new one for each location variant.
3. In the meeting type settings, configure:
   • Name and description to indicate the location.
   • Online meeting option (for Teams) if applicable, or specify the physical location in the description.
4. Make these meeting types public so clients can choose the appropriate option from the booking page.

If a more structured “location list” is required (for example, centrally managed locations and types), use Shared Bookings instead. In Shared Bookings, services can be defined with specific locations and online meeting settings so customers see clearly defined options when booking.
