Using 365 Business Standard with Teams email feature with Goldmine

We want to be able to use the email hosting service that comes with our subscription. We want to use our domain name with the email. We have Goldmine as our CRM. We also use pop mail for on our computers.

Will the hosting service work with Goldmine without us having to use Outlook, and while still keeping our domain name?

Goldmine has their own email interface.

    Yes, the email hosting service included with Microsoft 365 Business Standard will work with GoldMine without requiring you to use Outlook, and you can continue using your custom domain email address.

    Microsoft 365 Business Standard includes Exchange Online, which supports standard email protocols such as POP3, IMAP, and SMTP. GoldMine’s built‑in email interface can connect directly to Exchange Online using these protocols, so Outlook is not required to send or receive email.

    • As long as your domain is set up and verified in Microsoft 365, your email addresses (for example, ******@yourdomain.com) will continue to work normally. GoldMine will simply connect to the mailbox hosted in Microsoft 365, just like it would with any other supported mail server.
    • GoldMine officially supports Microsoft 365 mailboxes using IMAP or POP for receiving email and SMTP for sending email. IMAP is generally recommended over POP because it keeps messages synchronized on the server and across devices, but either option can be used depending on your workflow.
    • The only requirement on the Microsoft 365 side is that POP or IMAP and SMTP are enabled for the mailbox, which can be configured by your Microsoft 365 administrator.

    Therefore, here are some steps I recommend you try.

    Step 1: Verify mailbox protocol access in Microsoft 365

    GoldMine connects to Microsoft 365 mailboxes using POP3 or IMAP for receiving mail and SMTP for sending mail. These protocols must be enabled for each mailbox. For reference: POP and IMAP account settings

    In the Microsoft 365 admin center, ensure that POP3 or IMAP is enabled for the user mailbox and SMTP is enabled for sending mail. This is a required configuration step, as GoldMine relies on these protocols to connect to Exchange Online.

    Open Microsoft 365 Admin Center > Users > Choose a user >> Mail >> Manage Mail Apps. For GoldMine relevant permissions are IMAP, POP, and Authenticated SMTP

    Step 2: Open email settings in GoldMine

    On the workstation running GoldMine: Open GoldMine > Go to Tools > Select Options > Open the E‑mail tab > Click Accounts

    Step 3: Create or edit the email account

    In the Accounts window: Click New to create a new email account or highlight an existing account and click Edit. GoldMine allows you to configure Microsoft 365 mailboxes directly in this interface.

    Step 4: Configure incoming mail (POP or IMAP) and outgoing mail (SMTP)

    For Getting Mail, select one of the supported protocols: IMAP or POP3. Enter the Microsoft 365 server settings as provided by Microsoft for POP or IMAP access.

    For Sending Mail: Configure SMTP > Enter the Microsoft 365 SMTP server settings > Ensure authentication is enabled. SMTP must be enabled on the Microsoft 365 mailbox in order for GoldMine to send emails successfully.
