Outlook does not support creating a reusable “custom location list” directly, but the address can be reused efficiently in two supported ways:

    1. Use work hours and location (for regular locations like “Office” or a specific building)
      • In new Outlook or Outlook on the web, go to Settings > Calendar > Work hours and location.
      • Set your usual work location (for example, home office or a specific building) for the days you want.
      • Once configured, this location is available via the work-location icon on your calendar and can be applied without retyping.
      • This is best for recurring locations (e.g., a regular office), not one-off addresses.
    2. Use an appointment template pattern for personal addresses
      • Create a new appointment and type your son’s full address in the Location field.
      • Optionally add any standard text in the body.
      • Save the appointment.
      • To reuse it, duplicate the appointment instead of creating a new one from scratch:
        • In classic Outlook: select the appointment and press Ctrl+C then Ctrl+V, or hold Ctrl and drag the appointment to a new date/time to create a copy.
        • In new Outlook/Outlook on the web: use the Duplicate event option (where available) to copy the appointment, then adjust date/time as needed.
      • The copied appointment keeps the same Location text, so the address does not need to be retyped.

If the address is used very frequently but not tied to specific dates, combining a “template” appointment with duplication is the most direct way to avoid re-keying the location.

    Hi @Michael Noak

I noticed your question is posted under the Business tag, so my initial guidance will focus on work/school (Microsoft 365) accounts. I want to clarifying an important distinction in Outlook 365.

In Microsoft 365 Business or Enterprise tenants, the Location field in Outlook can be enhanced using Resources, such as conference rooms or work locations. However, these locations cannot be created or customized directly from Outlook by end users.

Instead, they must be configured centrally by an administrator in the Microsoft Admin Center, typically as Room or Resource mailboxes (or via Location services). Once configured, these locations will automatically appear as selectable options when creating calendar appointments.User's image

For example, an admin could create a Room resource with your son’s address as the location. Once set up, you can simply select it from the Location field, and the full address will be populated automatically no need to re-enter it each time.

Since this feature is available only for Business/Work or School accounts, and your question is tagged under Business, my guidance above is based on that assumption.

If, however, you are using a personal Microsoft account (Outlook.com / Microsoft 365 Family or Personal), this functionality is not supported. In that case, please let me know so I can adjust the guidance and suggest alternative approaches that may work better for you.

Thank you again for your time and understanding. While my initial response may not resolve the issue immediately, I’d like to gather more details about your situation so I can assist you more effectively.

I really appreciate your patience, and I’m here to help. Looking forward to your response!
