Below is a detailed but simplified step‑by‑step guide, including how to remove the payment method.
Before you begin: Please save anything you want to keep, such as: Emails, Files in OneDrive or SharePoint, Website content
Once the business account is closed, this data cannot be recovered.
Step 1: Sign in to the Microsoft 365 admin center
Go to the Microsoft 365 admin center.
Sign in using the main account you used when you created the business account.
Make sure you can see the admin dashboard.
Step 2: Remove users and email addresses
Go to Users > Active users.
Delete all user accounts that are listed.
If you see any shared mailboxes, delete those as well.
This step removes business email addresses from use.
Step 3: Cancel subscriptions
Go to Billing > Your products.
Select each Microsoft 365 subscription.
Cancel the subscription or turn off recurring billing.
If a subscription cannot be canceled immediately, it will end automatically at the end of its billing period. This is expected.
Step 4: Remove the payment method
Go to Billing > Payment methods.
Select the saved credit card or bank account.
Remove the payment method.
If you are unable to remove the payment method, please make sure there are:
No active subscriptions
No outstanding or pending charges
Step 5: Remove your domain
Go to Settings > Domains.
Select your domain (for example, yourcompany.com).
If you see an error message, return to the earlier steps to confirm nothing is still using the domain.
Once clear, remove the domain.
This releases your email addresses and website URLs.
Step 6: Close the business account
