Her existing Outlook setup does not automatically stay exactly the same when moving to a different Microsoft 365 subscription owner, because:
- Microsoft accounts cannot be merged or linked in a way that transfers purchases, mailbox, or subscription ownership between accounts.
- A Microsoft 365 subscription also cannot be transferred from one Microsoft account to another.
What does work, however, is:
- Keep her current Microsoft account
- Her Outlook mailbox, folders, and settings are tied to her Microsoft account, not to the “family owner.”
- If she simply stops using her own subscription and is added as a member of a Microsoft 365 Family subscription under a different account, she continues to sign in with the same Microsoft account, so her Outlook setup (mailbox, folders, contacts, calendar) remains as-is.
- Use Family sharing instead of trying to move her account
- The supported model is that the Family subscription owner shares the subscription with other people; each person keeps their own Microsoft account and Outlook data.
- Accounts are not linked or merged; each person’s email and OneDrive remain private and separate.
- If changing accounts, data must be moved manually
- If she were to switch to a different Microsoft account (for example, to use a different sign-in identity), her Outlook data would not move automatically and would need to be transferred manually (for example, by exporting/importing Outlook data or copying content as described for manual data transfer between Microsoft 365 accounts).
So, as long as she keeps using the same Microsoft account and is simply added to a Microsoft 365 Family subscription, her Outlook setup effectively remains unchanged. What changes is only which subscription is providing the license, not the mailbox itself.
