In the newest Outlook in Microsoft 365, the Quick Access Toolbar (QAT) can be shown/hidden, moved, and customized with the commands needed most often.
To show or hide the Quick Access Toolbar
- Right-click anywhere on the ribbon.
- Do one of the following:
- If the Quick Access Toolbar is shown, select Hide Quick Access Toolbar.
- If the Quick Access Toolbar is hidden, select Show Quick Access Toolbar.
To move the Quick Access Toolbar above or below the ribbon
- Select Customize Quick Access Toolbar (the small dropdown at the end of the QAT).
- Choose either Show Above the Ribbon or Show Below the Ribbon.
- Alternatively: File > Options > Quick Access Toolbar > Toolbar Position.
To add a command that is on the ribbon
- On the ribbon, go to the tab/group that contains the command.
- Right-click the command.
- Select Add to Quick Access Toolbar.
To add a command that is not on the ribbon
- Select Customize Quick Access Toolbar > More Commands.
- In Choose commands from, select Commands Not in the Ribbon.
- Select the command and choose Add.
- If the command is not there, set Choose commands from to All commands and look for it again.
To remove a command from the Quick Access Toolbar
- Right-click the command on the QAT.
- Select Remove from Quick Access Toolbar.
To change the order of commands on the Quick Access Toolbar
- Right-click the Quick Access Toolbar and select Customize Quick Access Toolbar.
- Under Customize Quick Access Toolbar, select the command to move.
- Use Move Up or Move Down until the command is in the desired position.
Keyboard-only customization (any Microsoft 365 app, including Outlook)
- Add buttons not on the ribbon:
- Press Alt.
- Move focus to the QAT with Up/Down Arrow as needed.
- Press Right Arrow until Customize Quick Access Toolbar is selected, then Alt+Down Arrow.
- Press M to open the Quick Access Toolbar options.
- Use Tab and Arrow keys to choose commands and Alt+A to add them.
- Group buttons with a separator:
- Press Alt, move to the QAT, then Shift+F10.
- Press C to open the Quick Access Toolbar tab.
- With <Separator> selected in Popular Commands, press Alt+A to add it.
- Use Move Up/Move Down to position it, then OK.
When the QAT is below the ribbon, command labels can also be shown or hidden via Customize Quick Access Toolbar > Show Command Labels or Hide Command Labels.
