New emails from internal company addresses are automatically being archived.

There are no rules set up and active. Auto-Archive settings are turned off.

Say my email is ******@business.com. Any new emails I receive from ******@business.com are getting automatically archived. But, external emails I get from ******@externalemail.com are showing up in my inbox normally.

Again, rules have been checked. There are none. Auto-Archive settings have been checked. They are not turned on.

I'm unsure what to do next. Please help!

    Hi @Hannah Perry

May I ask if any of your colleagues seeing this behavior or just only you?You mentioned received a new email from a co-worker, does this happen to all co-workers or just only one?

I have done some research, and this happens inconsistently.

First, let's check in https://outlook.office.com/mail/options/mail/sweep to see if there are any sweep rules there.

Next, do you configure your account on a mobile device? There's a small chance that the swipe left action caused this. You can adjust it to another action to prevent this behavior.

In your Classic Outlook, Backspace key acts as a hot key to archive. When you accidentally press this button, the email will be moved to Archive folder.

To prevent the Backspace key from moving items to the Archive folder, you can add the following registry entries to disable this functionality.

Important: Follow the steps in this section carefully. Serious problems might occur if you modify the registry incorrectly. Before you modify it, back up the registry for restoration in case problems occur.

Press Windows + R and type in regedit

    Navigate to > HKEY_CURRENT_USER\SOFTWARE\policies\Microsoft\office\16.0\outlook\options

Create a DWORD Name: DisableOneClickArchive Value 1

If you do not have admin rights to do this, please ask your IT admin of your organization.

If none of these works, can you verify if only you meet this issue or everyone in your company meet this issue.

In this scenario, the behavior almost always comes from server-side logic rather than the local Outlook client, even when Outlook rules and AutoArchive are empty/disabled.

Based on the available information, the next places to check are:

    1. Check for server-side Inbox/Sweep rules in Outlook on the web
Outlook desktop “Rules and Alerts” can be empty while server-side rules still move messages.
      • Sign in to Outlook on the web (for Microsoft 365 business accounts, use the organization’s Outlook on the web URL).
      • Go to Settings > Mail (or Options) > Inbox and sweep rules / Rules.
      • Look for any rule that:
        • Targets messages from the internal domain (for example, @business.com), or
        • Moves messages to Archive or another folder.
      • Disable or delete any such rule, then test by sending a new internal message.
    2. Check the Archive folder and confirm where messages are landing
      • In Outlook (desktop or web), open the Archive folder and confirm that the missing internal messages are there.
      • If so, move one back to Inbox and see if any “Move” rule is suggested or highlighted; this can hint at the rule or feature that moved it.
    3. Confirm AutoArchive is not moving items to a local PST
Even if AutoArchive is “off” globally, per-folder settings can differ.
      • In Outlook desktop, right‑click Inbox > Properties > AutoArchive and confirm it is set to Do not archive items in this folder.
      • Repeat for the Archive folder to ensure it is not configured to auto‑move specific items.
    4. Check for hidden or unusual rules discovered in similar cases
Similar issues have been resolved where:
      • A rule was diverting all new mail to an unexpected folder (for example, RSS Feeds).
      • The rule was only visible in Outlook on the web or was “well hidden” in the desktop Rules UI.
Re‑check rules in both Outlook desktop and Outlook on the web, and inspect all folders (including RSS Feeds, custom folders, and Archive) for newly arriving internal mail.
    5. If the mailbox is hosted on Exchange Online, involve the admin
If no rules are visible in Outlook on the web and AutoArchive is confirmed off, an Exchange/tenant admin should:
      • Review mailbox rules and policies directly on the server.
      • Check for any retention or archive policies that might be scoped to internal messages or specific senders.

Once any server-side rule or policy that moves internal mail is removed or adjusted, new internal messages should start appearing in the Inbox instead of being archived.
