On Outlook for Mac using a Gmail account, deleted messages are normally in the Gmail Trash/Deleted Items folder, and can also be recoverable from Gmail’s server-side “Recoverable Items” (if exposed by Outlook).
Try these steps in new Outlook (for Mac) concepts, adapted from the documented recovery flow:
- Check Deleted Items/Junk Email in Outlook
- In Outlook, in the folder list, look for Deleted Items or Junk Email.
- If the folder list is collapsed, select the Show Navigation Pane button to reveal all folders.
- Open Deleted Items or Junk Email and look for the missing messages.
- If found, select the messages, then on the Home tab choose Move and move them back to Inbox or another folder. You can also drag them or right‑click and choose Restore (where available).
- If Deleted Items is empty, check Recoverable Items
- Select the Deleted Items folder.
- At the top, look for and select Recover items deleted from this folder (this opens the Recoverable Items view when supported by the account type).
- In the Recoverable Items list, select the messages to restore and choose Restore on the ribbon.
- If using Outlook on the web with the same Gmail-connected account
- In Outlook on the web, open the Deleted Items folder.
- If the messages are not there, select Recover items deleted from this folder at the top of the message list.
- Select the messages and choose Restore. Items are restored to their original folder when possible; otherwise, messages go to Inbox.
If there is no Recover items deleted from this folder option and nothing appears in Deleted Items/Junk Email, the messages may already have been permanently removed by server retention (for example, after 30 days in Deleted Items/Junk Email on the server) and cannot be recovered via Outlook.
