Hi, I'm John! I will help you with this.

Copilot icon in Outlook usually does not appear because required conditions are not met, not due to a bug, since it only shows when you have the correct Copilot license, are using a supported version (new Outlook or web), and your app is fully updated and properly configured; if any of these are missing, the button will not appear.

To help narrow down the issue:

    1. Are you using Outlook for work/school or personal?
    2. Are you using new Outlook, classic Outlook, or browser (Outlook Web)?
    3. Do you have a Copilot plan (Copilot Pro or Microsoft 365 Copilot)?
    4. Are you signed in with the same account that has the license?

In classic Outlook for Windows, the Copilot icon will only appear if all required conditions are met. Check the following in order:

    1. Confirm the correct account has a Copilot license
      • In any Microsoft 365 app, go to File > Account and verify that the account shown at the top is one of:
        • Microsoft 365 Personal or Family subscription, or Copilot Pro (home users), or
        • Microsoft 365 Business Basic/Standard/Premium, E3, E5, F1, or F3 with Microsoft 365 Copilot (business users).
      • If the signed-in account does not have a Copilot license, the Copilot button will not appear.
    2. Make sure Outlook is updated to the latest build
      • In Outlook, go to File > Account > Update Options > Update Now to install the latest Office updates.
      • Restart Outlook after the update.
    3. Refresh the Copilot license in the apps
      • In Outlook (or any Microsoft 365 app), go to File > Account.
      • Select Update License.
      • Close all Microsoft 365 apps and reopen Outlook.
    4. Check Connected Experiences / privacy settings
      • In classic Outlook, go to File > Options > General > Privacy Settings.
      • Ensure Turn on all connected experiences (or equivalent Connected Experiences setting) is enabled. If connected experiences are turned off, Copilot and some features (like Focused Inbox) will not appear.
    5. Verify Copilot is not hidden via Copilot Toggle
      • Open Outlook and go to Settings.
      • Find the Copilot tab.
      • Ensure the Copilot toggle is turned on for the account; if it is off, Copilot entry points (icons like “Summarize this email”) will be hidden.
    6. If using multiple accounts in Outlook
      • Copilot is available for all connected email accounts when at least one signed-in account has a Copilot license and Connected Experiences are on.
      • Make sure Outlook is signed in with that licensed account on the same device.

If all of the above are correct (licensed account, latest build, license refreshed, connected experiences on, Copilot toggle on) and the icon still does not appear, wait for updates, as Copilot availability can depend on rollout and app version.
