I have a community channel where I upload a daily Excel report for all community members to use for their day‑to‑day work.

The issue I am facing is that some members are able to directly edit the original Excel file that I uploaded in the channel. Because of this, the data gets changed unintentionally, and it impacts other users who rely on the same file.

What I want is:

  • All community members should be able to open and view/download the Excel file
  • Only I (or a limited set of users) should have permission to edit the original file
  • Other members should not be able to modify the uploaded report directly

Is there any setting, permission option, or best practice available to restrict edit access for files uploaded in a community channel (for example, view‑only access or read‑only sharing)?

    Regarding your issue, when an Excel file is uploaded to a community channel, it’s stored in the channel’s underlying SharePoint document library. By default, community members are granted Edit permissions on that library, which allows them to open and modify the original file. This is why some users are able to change the data unintentionally. 

    At the moment, there isn’t a Teams or Community‑level setting that automatically forces uploaded files to be view‑only. Edit restrictions need to be handled through SharePoint permissions. 

    Here are a few steps you can try: 

    • Open your Team in the desktop app or web browser. Navigate to the Shared tab at the top of your channel, find your file and click Open in SharePoint.

    • When members open your Excel report now, they will see a "Read-Only" banner at the top.
