older version of document changed into another document when I was asked to 'save as'

When I went to close a document from a few years ago, and Word asked me to 'save as'.

I was in a hurry and went along with the 'saving as' of the 2021 document etc. and it became another document from the same folder even though I saved under another title and had to even find a location for it, as if it wasn't already a document with information on it.

It happened to be an original stocklist of consignment stock I have in a gallery. I now no longer have that original list which is extremely inconvenient, and will represent a possible loss of income and a lot of time. It was created before 'Onedrive' etc.

When I went to Onedrive to see if I could retrieve the earlier version, there were only a random dozen or so documents, spread out from across the last few years, but not the earlier version of this particular important document.

(I haven't really ever understood how some things get saved in Onedrive and some do not. I've been using Word since 1995, and didn't get any instructions ever on how to save in other ways.)

Please help.

Candida

Since you inadvertently replaced your document, by saving over it, the original content may be lost, I'm afraid.

You can go to your OneDrive storage online and see if you are able to retrieve the info using the Version History. Sign in to https://onedrive.live.com with your credentials.

Generally, what is synchronized and what is not synchronized will depend on the settings in the OneDrive app. For an overview, see https://support.microsoft.com/en-US/office/sync-your-computer-s-files-and-folders-with-onedrive-615391c4-2bd3-4aae-a42a-858262e42a49#id0ebbh=mac .

The original version of the document can only be recovered if Word or OneDrive/SharePoint created and kept earlier versions or AutoRecover copies. The options depend on where the file was stored and how it was saved.

    Use these checks in order:

    1. Check Word’s version history (if the file is now in OneDrive/SharePoint)
      • If the document is stored in OneDrive or SharePoint and opened from there in Word:
        • In Word on macOS, select File > Browse Version History.
        • In the Version History pane, look through the dates and times.
        • Select a version and choose Open Version.
        • If the correct older version opens, select Restore to make that version the current one.
    2. Check OneDrive version history (if the file is in OneDrive)
      • In a browser, go to OneDrive and locate the document.
      • Right‑click the document and select Version history.
      • Review the listed versions; if the original stock list appears, open it and restore that version.
      • Note: OneDrive automatically keeps previous versions of a document. With a personal Microsoft account, up to the last 25 versions are available; with a work or school account, the number depends on the library configuration.
    3. Check Word’s AutoRecover/unsaved versions (if the file was on the Mac’s local drive)
      • If the file was stored only on the Mac (not in OneDrive/SharePoint) and AutoRecover was enabled, Word may have kept an earlier version:
        • Open Word.
        • Open the document that now contains the wrong content.
        • Go to File > Info.
        • Under Manage Documents, look for a file labeled (when I closed without saving) and open it.
        • If that is the correct version, select Restore to overwrite the current file, or Compare if comparison is needed.
      • If the document was never saved in its original form before the overwrite, try:
        • File > Info > Manage Document > Recover Unsaved Documents, then open any candidate file and use Save As if it is the correct one.
    4. If none of the above show the original
      • If the document was created and maintained only on the local Mac, before OneDrive was used, and there is no AutoRecover or version history entry, Word has no built‑in way (from the provided information) to reconstruct the overwritten original.
      • In that case, recovery would depend on external backups of the Mac (for example, Time Machine or other backup tools), which are outside what is covered here.

To avoid similar issues in the future when working from an older document:

    • Use File > Save a Copy (or Save As) immediately before making changes, so the original remains unchanged and edits go into the new file.
