how do i turn on the transcription feature for meetings as i am hearing impaired?

how do I get the transcription to convert english to spanish for when my mom joins so she can read the transcription in her own language?

• I saw that you posted your question under the Business category so to better support you, would you mind letting me know is this account a personal (free) Teams account or a work/school Teams account provided by an organization?  
• Are you organizing the meeting, or joining as an attendee? 
• During the meeting, when you select More actions (···), do you see: 
  • Show live captions 
  • Record and transcribe 
  •

To use transcription and translation in Microsoft Teams meetings, enable live transcription first, then configure language and translation settings.

1. Turn on live transcription during a meeting
   1. Join the Teams meeting.
   2. In the meeting controls, select More actions (three dots).
   3. Select Record and transcribe.
   4. Select Start transcription and confirm if prompted.
   5. A transcript pane will open and start showing the spoken content as text.
   This helps people who are deaf or hard of hearing follow the meeting audio as text and can also be saved for later use.
2. Set or change the spoken language for transcription To improve accuracy and make sure the transcript matches what people are actually speaking:
   1. In the meeting, select More actions.
   2. Hover over Record and transcribe and select Show transcript.
   3. In the transcript pane, select Language settings.
   4. Under Meeting spoken language, choose English (or the language everyone is speaking).
   5. Select Update.
   Note: For other participants to access the meeting spoken language, any ongoing transcription must be turned off first. Then transcription must be turned on again after changing the language.
3. Turn on translated captions/transcripts (English → Spanish for your mom) Live translated transcription requires Teams Premium or Microsoft 365 Copilot licensing as described in the documentation. Once the licensing requirement is met:
   1. Join the meeting and start transcription as above.
   2. In the meeting controls, select More actions.
   3. Select Record and transcribe > Show transcript.
   4. In the transcript pane, select Language settings.
   5. Turn on the Translate to toggle.
   6. In Translate to, your mom can choose Spanish so that captions and the transcript she sees are translated from English into Spanish.
   Alternatively, she can set this from caption settings:
   1. In the meeting controls, select More actions.
   2. Select Language and speech > Show live captions.
   3. Select Open caption settings > Language settings.
   4. Under Your spoken language, choose the language being spoken in the meeting (for example, English).
   5. Under Translate to, choose Spanish so her live captions and transcript are shown in Spanish.
4. Notes about accessibility and storage
   • Using captions and transcription lets people who are deaf, hard of hearing, or who prefer reading follow the meeting in text form.
   • Only the original (non‑translated) transcript is stored; past translated transcripts are not stored. If someone joins late, they only see translated text from when they joined.

If translated captions or the Translate to option are not visible, contact the organization’s IT admin to confirm Teams Premium or Microsoft 365 Copilot licensing and meeting policies for recording and transcription.
