Sharepoint not showing recent documents

We use sharepoint in our office of about 8 people. It is not showing the most recent documents (2024-2026) on my sharepoint. I don't know about others. It's worked a couple of times but not now.

    I hope you’re having a great day. I appreciate your patience and the details you provided. 

    A - What's happening 

    First, if you are viewing the “Recent documents” section on a SharePoint page, please note that this view is personalized per user. It only shows documents that you personally have opened or worked on recently, not necessarily the newest files added to the library overall. Because of this, newer documents may not appear there if you haven’t accessed them yet. 

    Second, if you are relying on the SharePoint search bar, new or recently updated documents may not appear immediately due to search indexing delays. In SharePoint Online, indexing can sometimes take up to 24 hours (and occasionally longer) before new files become searchable, which could explain why you see inconsistent results. 

    Third, there can be configuration or permission-related factors. SharePoint allows site owners or admins to control whether a site or document library is included in search results, and search results are also permission-based. If permissions or search visibility settings have changed, some users may not see newer documents even though they exist.

    B - Recommended next steps 

    I recommend the following checks: 

    Step 1 - Verify directly in the Document Library (not only “Recent”) 

    Please navigate directly to the relevant Document Library/folder where the 2024–2026 documents are stored, since “Recent documents” may not reflect the newest library content for your account.  

    Step 2 - If the issue is related to Search, request a reindex (Site Owner/Admin) 

    A Site Owner/Admin can manually request a reindex of the site or document library so SharePoint reprocesses the content for search.  

    Please note this places the content in a queue and may still take time to complete.  

    Step 3 - Confirm search visibility is enabled (Site Owner/Admin) 

    If search visibility was turned off at the site or library level, items may not appear in search results until re-enabled and crawled again.

    Step 4 - Rule out a browser/cache display issue 

    Sometimes the library view can look out of date due to browser caching opening SharePoint in InPrivate/Incognito mode or clearing cache / trying another browser can help refresh what’s displayed.

    C - Contact support 

    If the issue still continues after these checks, please contact your organization’s IT administrator so they can review permissions, search visibility settings, and reindexing on the SharePoint side.  

    In case your IT department cannot access the necessary information or make the required changes, I recommend asking them to open a request with Microsoft Support team through the Microsoft Admin Center. They have access to backend configurations and can perform a more in-depth investigation. At the very least, they can provide the most effective workaround to ensure your experience remains smooth and secure.     

    As community moderators, we appreciate your understanding that we do not have access to the administrative tools or permissions required to investigate or modify these configurations.
