Crating a meeting room booking calander

Hi,

I have a new physical conference room and would like to use MS Teams to allow the room to be automatically booked for physical meetings by people within my company directory. Ideally I would like it to be automated and sit with my own Teams page.

Is this something that can be done with MS Bookings?

Does the room need its own email address to give it an identity within the physical estate?

Any help would be appreciated.

    While Microsoft Bookings is excellent for scheduling appointments with external clients, it is not the primary tool for managing internal physical meeting spaces.

    To achieve an automated, professional setup within MS Teams and Outlook, you should use Microsoft 365 Resource Mailboxes.

    1. Does the room need its own email address? No. Bookings is for customer-facing, service-based appointments. The correct Microsoft solution for your need is a Resource Mailbox (often configured with a Microsoft Teams Rooms license). This integrates directly with your company directory and allows anyone in your organization to book the room just like they schedule a meeting with a colleague.
    2. Is this done with MS Bookings? While you could use Bookings, the standard and more integrated approach for internal rooms is using Exchange Online Resource Management. This allows the "Automated Booking" you requested.

    I recommend creating a Resource Mailbox. This allows the room to automatically accept or decline invites based on availability.

    Step-by-Step Implementation:

    Step 1: Create the Room

    • Go to the Microsoft 365 Admin Center > Resources > Rooms & equipment. Click + Add resource.
    • Set Booking Rules: Under edit Meeting option, ensure Allow repeated meetings and automatically accept/decline meeting requests are toggled On.
    • When users create a meeting in Teams, they simply click Add location or invite the room’s email address as a participant. If the room is free, it will instantly send a confirmation email. User's image

    Step 2: Assign a License 

    For the best experience with Teams, assign a Teams Rooms Basic or Teams Rooms Pro license to this new resource account. This unlocks features like a touch console if you put a tablet in the room, and advanced calendar processing.

    Step 3: To have the room's schedule sit within your Teams view:

    • Go to your preferred Channel.
    • Click the + (Add a tab) button at the top.
    • Select Channel Calendar or Website.
    • If using "Website," paste the Outlook Web App URL for the shared room calendar. This provides a centralized view for the entire team. User's image
