Being unable to edit Color Categories - even when the permission level is set to Can Edit - can be unexpected, especially when this occurs in both the Outlook desktop app and Outlook on the web. In Outlook, having Can Edit (Editor) permissions on a shared folder or calendar isn’t always sufficient to manage the Master Category List. A/ For Shared calendar / delegate scenario
Please ask the calendar owner (or an administrator) to update your permissions:
- The calendar owner opens Outlook and navigates to Calendar > Right‑click Calendar > Properties > Permissions.
- Set your permissions to Owner (or the minimum level Microsoft requires for category management).
- Restart Outlook (desktop), then try creating or editing categories again.
B/ For Shared mailbox scenario
If using New Outlook:
To manage mailbox‑level settings such as Categories and Rules, the shared mailbox usually needs to be added as an account, not just accessed as a shared folder.

If using Classic Outlook with automapping:
When a shared mailbox is automapped as an additional mailbox, category management options may remain unavailable. A known workaround is to remove automapping and then add the shared mailbox as a separate account, which can restore category management capabilities.
