I'm using a PowerAutomate flow to approve a request via email for a company outside our network using the Send Email with Options step. It has worked fine for the past several months and now the person providing the response is getting this notification for new approval request emails.

The message “Your response has already been received” appears when the approval/response link in the email has already been used or the approval has already been processed. For external recipients, this can happen if:

    • The recipient clicks the same approval link more than once.
    • A mail client, security gateway, or link‑scanning service opens the link automatically before the user does, so by the time the user clicks it, the response is already recorded.

Because the email is generated by Power Automate, the recipient can still complete the approval directly in the Power Automate Approvals experience instead of relying on the email link:

    1. Go to the Power Automate portal Approvals section.
    2. Use the Received tab to locate the approval request.
    3. Approve or reject from there; the flow then continues based on the chosen outcome.

If the email itself is not working reliably, configure the process so that approvers use the Approvals center (or Teams approvals) as the primary response channel and treat the email as a notification only.
