Setting up future meetings with participants using Teams calendar or Outlook integration
Hiding attendee names and managing what attendees see are Teams Premium features, but they must be enabled in the meeting/webinar options and in policy; having a Premium license alone is not sufficient.
From the documented behavior:
- Hide attendee names requirement
- Hiding attendee names is only available in Teams Premium and must be turned on when scheduling the meeting or webinar; once saved, it cannot be changed later.
- The Hide attendee names toggle appears under Participation in the meeting options.
- To show this toggle, Who can present must not be set to Everyone.
- In Teams, go to Calendar and open the event.
- Select View event → Options.
- Under Roles, set Who can present to something other than Everyone (for example, Specific people or Only me).
- Under Participation, turn on Hide attendee names.
- Select Apply.
- Create or open the webinar in the Teams calendar.
- In Details, select Meeting options.
- Under Participation, turn on Hide attendee names.
- Select Apply, then Save.
- Manage what attendees see / control presenters
- To manage what attendees see, set Who can present to Specific people and then enable Manage what attendees see under Production tools.
- This is also a Teams Premium feature for standard meetings/webinars and is generally available in town halls.
- Schedule the meeting.
- In the invite, open Meeting options.
- Under Roles, set Who can present to Specific people and choose the presenters.
- Under Production tools, turn on Manage what attendees see.
- Select Save.
- If options still do not appear
- An admin policy can control whether users see the attendee name masking option. The
-AttendeeIdentityMaskingparameter inCsTeamsMeetingPolicymust be enabled by an administrator for the organizer’s policy. - If the toggle is missing even after setting Who can present correctly and scheduling a new meeting/webinar, contact the Teams or Microsoft 365 administrator to confirm:
- The organizer has a Teams Premium license assigned and active.
- The Teams meeting policy applied to the organizer has attendee identity masking enabled.
- An admin policy can control whether users see the attendee name masking option. The
