We paid the annual fee for 2 licenses in April for Microsoft Office 365 Business NonProfit. Without our permission you added a third license and charged our credit card $66. We did not authorize this. Why was it added? Please remove this third license and refund our money on our credit card.

Please understand that as a forum moderator, I don’t have access to internal billing systems or backend tools. However, I will do my best to guide you using publicly available documentation, research, and community experience.

    Hello @Deborah Mumford,

Thank you for bringing this matter to our attention. I understand how concerning and frustrating it can be to see an unexpected charge on your account, especially when it was not intended.

To properly review the situation, including the additional license and the refund request, this will need to be handled by the Microsoft Billing Support team, as they have the appropriate tools and visibility to investigate billing transactions in detail.

I would recommend creating a support ticket through Admin Center so that a billing agent can carefully review your case and assist you further. You can follow the step-by-step guidance here: Get support - Microsoft 365 admin | Microsoft Learn

Once your request is submitted, the billing team will be able to check how the additional license was added and help guide you through the next steps regarding the charge.

Thank you very much for your patience and understanding. Please feel free to reach out if you need any assistance while creating the support request, I’ll be happy to help.

    Best regards,

The additional license and charge cannot be investigated or changed from here because account and billing data are not accessible.

New Microsoft 365 licenses are billed and become assignable immediately when they are added to a subscription. If more licenses appear than expected, it usually means someone with admin or billing permissions in the tenant added an extra license, or an existing subscription was modified to increase the license count.

To resolve this and request a refund:

    1. Verify what the extra charge is for
      • Sign in to the Microsoft account used for the nonprofit subscription and review services and billing details at the Microsoft account dashboard.
      • If the charge is not recognized or does not match the expected license count, use the guidance in How to investigate a billing charge from Microsoft. From the Manage your payments page, select Investigate next to the charge to see what subscription or license change generated it.
    2. Cancel or remove the unwanted license
      • In the Microsoft 365 admin/billing area, reduce the license count back to the intended number (for example, from 3 back to 2) so that future billing reflects only the licenses that should be active.
      • Note: For some billing account types (for example, MCA or MOSA), there are specific rules and time windows for reducing license counts and how that affects invoices and proration.
    3. Request a refund for the unauthorized license
      • Follow the steps in How to get a refund on a Microsoft subscription. First cancel or adjust the subscription as needed, then use the self‑help refund tool for Microsoft 365 to check eligibility and submit a refund request.
      • Not all cancellations result in a refund, but the tool will show eligibility based on the subscription and billing dates.
    4. Contact Microsoft Support if the issue persists
      • If the investigation and self‑service refund steps do not resolve the issue, contact Microsoft 365 billing support directly so an agent can review the subscription, license history, and charges and process any eligible refund.

These steps ensure the third license is removed going forward and that any eligible refund for the unwanted charge is requested through the official billing and refund channels.
