How can copilot help me update team and staff process guides. Can it record me doing a process and then make a step by step process guide from that?

    Hello @Danica Thorn,

From my checking, you can generate instructions via record, and you can ask Copilot to summarize or find specific information from screen-shared content. This can help when documenting team or staff processes and turning demonstrations into step-by-step guides.

However, this new update is planned to be rolled out in August this year.

You can check more information from this roadmap: Microsoft 365 Roadmap | Microsoft 365

Copilot can help update and create process guides, but the behavior depends on which Copilot experience is used. From the provided information, Copilot does not directly “record” on‑screen actions and automatically turn them into a step‑by‑step guide. Instead, it supports process work in these ways:

    1. Use Copilot in Power Automate for desktop to describe processes and get structured steps
      • In Power Automate for desktop, Copilot can build or enhance desktop flows when the process is described in natural language.
      • By explaining the process (for example, “Open app X, export report Y, save it to folder Z”), Copilot generates the sequence of automation actions.
      • Those generated actions can effectively serve as a structured, step‑by‑step representation of the process, which can then be translated into a written guide for team members.
      • Copilot can also answer product and desktop‑flow questions, which helps refine and clarify each step while documenting the process.
    2. Use Copilot in Process Mining to understand and refine real processes
      • Copilot in Process Mining ingestion can discover processes from data (for example, in Azure Data Lake) and map that data into a process schema.
      • Copilot in Process Mining process analytics can summarize process behavior and surface insights using natural language.
      • These summaries and insights can be used to update process guides with accurate descriptions of how work actually flows (for example, common paths, bottlenecks, or variants), but this is based on event data, not on live screen recording.
    3. Use Microsoft 365 Copilot Chat to draft and revise written guides
      • In Microsoft 365 apps (such as Word, Teams, and others), Copilot can help draft, rewrite, and edit content.
      • Existing process guides can be pasted or opened, and Copilot can be prompted to:
        • Rewrite steps for clarity.
        • Summarize long procedures.
        • Reformat content into numbered steps, checklists, or role‑based instructions.
      • Copilot can also answer questions about the content and help ensure consistency across multiple guides.

To achieve something close to “record and generate a guide,” a practical pattern is:

    1. Perform the process while taking notes or capturing key steps.
    2. Provide those notes or a rough outline to Copilot (in Word or another Microsoft 365 app).
    3. Ask Copilot to turn them into a clear, step‑by‑step process guide, then refine as needed.

There is no capability in the provided information where Copilot automatically watches the screen and converts that recording directly into a written guide.
