How do I get the Record and Transcribe button on Teams?

I have Teams but even when I organise a meeting only get a Record button. There's no Record and Transcribe button. I am working independently so not affected by any organisational restriction.

    I noticed your post is tagged under Microsoft Teams for business, so could you please confirm whether you’re using a work or school account (provided through a Microsoft 365 subscription), or a personal/Teams Free account? If possible, it would also be helpful to know the exact subscription plan you’re using.

    The reason I ask is that transcription in Teams is not available for personal/Teams Free accounts. In those cases, seeing only the Record button and not Record and Transcribe is actually expected behavior. The full recording and transcription experience is only supported with Microsoft 365 work or school accounts.

    In the meantime, as a workaround, you could still generate a transcript after the meeting. You can download the meeting recording, then go to Word for the web, use the Dictate feature, and choose Transcribe to upload the file and generate an editable transcript.     In Teams, the ability to see a Record and Transcribe button depends on the meeting’s recording & transcription settings and policies, not just on being the organizer.

    Use these checks and changes:

    1. Check meeting options for “Who can record and transcribe”
      As the organizer, open the meeting in the Teams calendar, select Meeting options, then under Recording & transcription look for Who can record and transcribe:
      • If it is set to No one, neither recording nor transcription can be started, so no combined Record and Transcribe control appears.
      • Change it to one of the allowed values (for example, Organizers and co-organizers or Organizers, co-organizers and presenters) so that recording and transcription can be started.
    2. Check if transcription is disabled for the organizer by policy
      If the organizer is not allowed to transcribe by policy, the transcription control will not appear for anyone in the meeting. In that case, the tooltip can show:
      “Transcription is turned off for the meeting organizer by org policy. Reach out to your IT admin to get access.”
      When this is the case, transcription must be enabled for the organizer in the meeting policy before the combined Record and Transcribe experience is available.
    3. Check Copilot and related limitations
      In Meeting options → Recording & transcription:
      • Record and transcribe automatically cannot be on if Who can record and transcribe is set to No one.
      • Who can record and transcribe cannot be set to No one if Allow Copilot is set to During and after the meeting; it can only be No one when Allow Copilot is Off.
        If these combinations are misconfigured, transcription may be effectively disabled and the combined button will not appear.
    4. If the Start transcription button is locked or missing
      During a meeting, hover over the Start transcription button (or its lock icon) to see a tooltip explaining why it is unavailable. Common reasons include:
      • The organizer set Who can record and transcribe to No one or restricted it so only organizer/co-organizers can start it.
      • Transcription is disabled for meetings or calls by policy.
        In each case, the remedy is to change the Who can record and transcribe setting or, if a policy is involved, to have transcription enabled and then wait for the policy to take effect.

    Once transcription is allowed by policy and the meeting’s Recording & transcription options permit it, Teams will expose the appropriate recording/transcription controls (including automatic recording and transcription, if configured).
