To regain access when Microsoft Authenticator is required but unavailable, follow these steps:

    1. Try any other verification method on the sign-in screen
      • On the "Approve sign-in" or code prompt, look for options like Use a different verification option, I can’t use my Microsoft Authenticator app right now, or Sign in another way.
      • If available, choose SMS, email code, or another method already configured on the account.
    2. Use the Microsoft account sign-in helper
      • For personal Microsoft accounts, run the sign-in troubleshooter to identify recovery options and available support: use the Sign-in helper link provided in the documentation.
    3. If Authenticator backup cannot be restored
      • If Authenticator credentials cannot be restored because the backup account is not accessible, support agents cannot restore Authenticator data or bypass verification.
      • For help regaining access to the backup Microsoft account itself, use the Microsoft account sign-in helper.
    4. When verification codes or prompts don’t arrive
      • If codes are not received, choose another verification method (different phone/email) or wait until access to the registered phone/email is possible.
      • Support agents are not allowed to send verification codes, password reset links, or change account details for security reasons.
    5. Contact Microsoft Support
      • For technical support, go to Contact Microsoft Support, enter the problem, select Get Help, and if still needed choose Contact Support to be routed to a support option.
      • Be aware that even support cannot send verification codes or change security details; all recovery must go through the automated account recovery and sign-in helper flows.

If this is a work or school (business) account and there is an organization admin, contact that admin or help desk and ask them to reset multifactor authentication or clear authentication methods via the admin tools. If the account is the only admin on a business tenant and is locked out, a support ticket with Microsoft’s Data Protection team (raised via the official customer service phone numbers or via another tenant, such as a trial) is required, as shown in the referenced Q&A guidance.
