Managing meetings and events using Outlook on the web for business
Hi @LT,
Thank you for your response and for explaining both issues so clearly.
What you are describing actually breaks down into two separate things, the invites landing in spam and the events no longer opening, and the good news is that the access has most likely not been lost. When a calendar is shared with edit or delegate permissions, the events should open fully on your side, so when they suddenly stop opening it usually points to a sync or permission refresh issue rather than a true removal of access. The four steps below should help restore everything, and I would recommend going through them in order.
Step 1: Remove and re-add the shared calendar
This forces a fresh sync, which resolves most cases where a previously working shared calendar stops opening.
- In Outlook on the web, select Calendar from the navigation pane.
- Under People's calendars, right click your executive's calendar and select Remove.
- Select Add calendar, choose Add from directory, search for your executive's name, and add their calendar back.
- This forces a fresh sync from the server.
Step 2: Confirm the permission level granted to you
- Ask your executive to open Outlook on the web and navigate to Calendar.
- Have them right click on their primary calendar named Calendar and select Sharing and permissions.
- In the sharing settings window, locate your name in the list of people the calendar is shared with.
- Confirm that your permission level is set to Can edit or Delegate. If the permission has changed, have your executive select your name, update the permission back to Can edit or Delegate.
- Once the permission is corrected, remove and re add their calendar on your side using the steps in step 1 to ensure the updated access takes effect.
Step 3: Restore visibility of the meeting join links
The body of an event, where the meeting link lives, only displays when you have full detail access, and private events hide that information by default.
- Ask her to grant you Delegate access.
- In the sharing options, have her select Let delegate view private events.
- Reopen one of the affected events and check whether the join link now appears.
On the matter of the invitations landing in spam, this is best reviewed by your administrator, since the routing of invites sent on your manager's behalf is controlled by tenant level mail flow and authentication settings rather than anything you can adjust from your own mailbox. Your admin can check the relevant settings and confirm the environment is configured correctly.
If the issue persists after taking these steps, your IT admin can also create a support ticket through the Microsoft 365 Admin Center on your behalf for a deeper investigation at the backend level. Once the ticket is created, a technical support engineer will be able to initiate a secure remote session, review backend configurations, run diagnostics, and escalate the case to specialized engineering teams if necessary. These teams are equipped to perform advanced troubleshooting and provide targeted solutions.
