Hello! I see the availability of the Microsoft Bookings tool. I would like to be able to use this to communicate our teams' availability with a Responsible Party we are currently auditing. Is the Microsoft Bookings tool something that our team can be granted access with?

Thank you,

    Good day Erica

Thank you for sharing your concern.

Just to gently clarify before we go any further, this is a user‑to‑user support forum. I don’t have the ability to access or investigate individual accounts because this is a user-to-user support forum. Moderators and contributors, including external Microsoft employees, do not have access to internal systems or the ability to directly take action on Microsoft product features. However, I truly hope I can help review your situation, offer some guidance, and support you in finding the right next steps as best as possible.

Certainly, Bookings can be an effective solution for sharing your team's availability with an external party and allowing them to schedule meetings based on available time slots. This can help streamline scheduling and reduce the need for back-and-forth email coordination.

To determine whether your team can use Microsoft Bookings, please follow the steps below:

Step 1: Verify access to Microsoft Bookings

Sign in to office.com using your work account > Open the App Launcher > Select More apps > All apps > Look for Bookings and open it.

    • If Bookings opens successfully: Your account has the required access and your organization has enabled the service for your user account.
    • If you receive an error or cannot find Bookings, please check with your IT administrator to ensure your work account has the appropriate license and that the Shared Bookings is enabled for your organization

Step 2: Create a shared booking page for your team

Once access is available, you can set up a shared booking page by following these steps:

    Open Bookings.

Create a new Shared Booking Page.

Add the team members who will be available for appointments.

Create the service or meeting type that external participants can schedule.

Configure business hours, staff availability, appointment duration and booking policies.

    Publish the booking page.

Share the booking page link with the external party.

The external participant will then be able to select available appointment times based on the availability you have configured. This helps avoid scheduling conflicts and provides a more efficient booking experience.

Additional information is available in the following resources:

I hope this information is helpful. If you have any questions or need further support, please don’t hesitate to reach out at any time.

Thank you for your patience and understanding.
