Connecting and synchronizing calendars across Microsoft Teams and other services like Outlook
Good day Peters, and I appreciate the clear explanation of your concern.
Just to gently clarify before we go any further, this is a user‑to‑user support forum. I don’t have the ability to access or investigate individual accounts because this is a user-to-user support forum. Moderators and contributors, including external Microsoft employees, do not have access to internal systems or the ability to directly take action on Microsoft product features. However, I truly hope I can help review your situation, offer some guidance, and support you in finding the right next steps as best as possible.
Currently, Outlook treats subscribed internet calendars separately from your primary Exchange calendar, so events on those calendars typically don't appear as busy time to others when viewing your schedule. This is because Outlook calculates your availability based on the calendar stored in your primary Exchange mailbox, while subscribed calendars are maintained independently and aren't included in Free or Busy scheduling information.
Here are some workarounds you may consider:
Note: Since you didn't specify whether you're using Classic Outlook, New Outlook, or Outlook on the web, please let me know if you are using a different version from the one mentioned in the steps below.
Option 1: Import the ShiftAdmin calendar into your primary Outlook calendar
This option copies the shift events into your primary calendar so they can be managed as regular Outlook appointments.
Note: This is a one-time import, so any changes made later in ShiftAdmin won't automatically update the events in Outlook. Once imported, the calendar becomes independent from ShiftAdmin and you would need to perform another import to bring any future updates into Outlook.
Open Outlook on the web > Go to Calendar > Select Add calendar > Select Upload from file.
Browse to and select the ShiftAdmin .ics file.
When prompted, choose your primary Outlook calendar as the destination.
Select Add to calendar.
Verify that the shift events now appear in your primary calendar.
Open a few imported events and confirm that the Show as setting is configured as Busy if you want others to see you as unavailable during those times.
Option 2: Contact ShiftAdmin support team
If ShiftAdmin can send each shift as a calendar invitation to your Microsoft 365 mailbox, accepting those invitations will add them to your primary Outlook calendar. This is important because Outlook and Teams use your primary Exchange calendar to determine scheduling availability, so events added there can be reflected in your availability. As ShiftAdmin is a third-party application, I cannot confirm its available features.
Please contact the ShiftAdmin support team and ask whether they support:
- Microsoft 365 calendar integration.
- Exchange Online integration.
- Automatic synchronization to a user's Outlook mailbox calendar.
- Sending shifts as calendar meeting invitations.
If this option is available, you can set it up using your Microsoft 365 account and confirm that new shifts are added directly to your primary Outlook calendar. You can then verify that the shifts appear as Busy and are reflected in scheduling tools such as Outlook and Teams.
I hope this information is helpful. If you have any questions or need further support, please don’t hesitate to reach out at any time.
Thank you for your patience and understanding.
