Sending, receiving, and organizing email in Outlook.com
Please reply with only these details:
- Are the missing messages from all senders or only certain senders?
- Do the messages appear in Junk Email, Deleted Items, Archive, or Other?
- Is your Outlook.com storage full or near full?
- Did the sender receive a bounce-back error?
Also try the steps below in order.
1) Check every folder where Outlook.com may have placed the message
Go to Outlook.com and search for the sender’s email address or company name. Then check these locations:
- Inbox
- Junk Email
- Other tab, if Focused Inbox is enabled
- Deleted Items
- Archive
- Any custom folders
If you find the message in Junk Email, select it and choose Report > Not junk.
2) Add the sender or company domain to Safe Senders
In Outlook.com, go to: Settings > Mail > Junk email. Under Safe senders and domains, add the sender’s full email address or the company domain, then select Save.
For example:
- Add the full email address if the message always comes from one person.
- Add the company domain if verification emails may come from different addresses at the same company.
3) Remove the sender from Blocked senders
In Outlook.com, go to: Settings > Mail > Junk email. Check Blocked senders and domains. If the sender or company domain is listed there, remove it and save the change.
4) Check rules, Sweep, and forwarding
In Outlook.com, check whether any setting is automatically moving, deleting, archiving, or forwarding messages.
Please review:
- Settings > Mail > Rules
- Settings > Mail > Forwarding
- Any Sweep settings previously used for that sender
If you find a rule that may affect those senders, disable or delete it.
5) Check Outlook.com storage
If your Outlook.com mailbox or Microsoft storage is full, new mail may not be delivered.
In Outlook.com:
- Open Settings
- Search for Storage
- Review your mailbox storage
- Free up space if needed
6) Ask the sender to confirm whether they received a bounce-back message
If the message is not in any folder and the sender received a delivery failure or bounce-back message, the issue may be on the sender’s side, or the message may have been rejected before reaching your mailbox.
After completing the Safe Senders, Blocked Senders, Rules, Forwarding, and Storage checks above, ask the sender to resend the message.
