Using New Outlook on Windows for professional communication and productivity

New Outlook is much more limited in this area than Classic Outlook and a lot depends on what kind of email account you are dealing with.
1 -- For Microsoft Personal Accounts (e.g. outlook.com, hotmail.com) you can set the Display Name on your Microsoft Account and this should show up when you send to most email clients.

2 -- [Update 2026-07-29] For most IMAP/SMTP email accounts, New Outlook for Windows does not have access to the Display Name setting from the email hosting service. And, unlike Classic Outlook, there is no setting to allow you to specify a Display Name it should use. So your emails are sent with no Display Name or the Display Name the same as your email address.
But for some email providers (e.g. GMail) Microsoft uses a special API connection that allows it to access the Display Name setting from your hosting service (Google) and include it in the sent mail.
3 -- Some email clients will not show a Display Name, even if it's included in the original email. You can check if you are actually sending a Display Name (and they are ignoring it):
- Open an email you sent and examine the Message Header.

The first part is your Display Name, the part in the <> is your email address. e.g. For emails I send from New Outlook using my Microsoft Account that has the Display Name set to

4 -- There is a an exiting Feature Request, to add the ability for you to specify the Display Name that New Outlook should used for an account when sending, that you can Vote for:
