Using New Outlook on Windows for academic communication and scheduling
Hi Madison
Good day, and thank you for the clear description of the issue.
From your post, I understand that all of your email signatures have disappeared in New Outlook, even though you have been using New Outlook for approximately a year and did not recently switch from Classic Outlook.
In New Outlook, signatures are generally stored and synchronized with your account. When signatures disappear unexpectedly, possible causes can include:
- A synchronization issue between Outlook and the service.
- A profile, account, or settings reset following an update.
- Signing in to a different account or Outlook profile than the one where the signatures were originally created.
- A temporary service-side or application issue affecting signature settings.
With this in mind, you may wish to try the following steps:
1/ Confirm that the correct account is signed in
If you have multiple Microsoft work or school accounts, please verify that New Outlook is signed in to the same account where the signatures were originally created.
2/ Check whether the signatures are available in Outlook on the web
- Sign in to Outlook on the web.
- Select Settings (gear icon) or three dots > Settings.
- Navigate to Mail > Compose and reply.
- Check whether your signatures are listed.
This can help determine whether the issue is limited to the New Outlook client or whether the signatures are missing from the mailbox settings themselves.
3/ If no signatures are present, test by creating a new signature
- In Outlook on the web, go to Settings > Account > Signature > Add signature.
- Create a new test signature.
- Assign it to Default for New messages and Replies/forwards.
- Save the changes and then check whether the signature appears in New Outlook.
This can help verify whether new signature settings are synchronizing correctly.
4/ Sign out and sign back in to Outlook
- Sometimes a sign-out/sign-in cycle can refresh account synchronization.
- Close New Outlook.
- Sign out of the affected account.
- Reopen Outlook and sign back in.
- Check whether the signatures reappear.
5/ Contact your IT administrator
If the issue persists after the above checks, the best next step would be to have your IT administrator open a support ticket with Microsoft via the admin center. A technical support engineer can then initiate a remote session, review backend settings, and run diagnostics. If needed, they can escalate the case to specialized engineering teams who are well-equipped to perform advanced troubleshooting and provide targeted solutions.
As moderators, our primary goal is to provide helpful guidance and support through general troubleshooting steps. While we don’t have access to internal systems or administrative tools required to resolve account-specific or backend issues, we truly appreciate your understanding of these limitations. We genuinely hope the information we share helps point you in the right direction, and we're always here to assist as much as we can within our scope.
For guidance on how to request support in the admin center, please share this with your admin: Get support - Microsoft 365 admin.
