No one receives my Microsoft Teams meeting invitations (Teams Essentials)

Hello,

I have a Microsoft Teams Essentials subscription.

Whenever I schedule a meeting and invite participants, none of the invitees receive the meeting invitation by email, and the meeting does not appear in their calendars.

Additional information:

  1. I schedule the meetings through Microsoft Teams.

The meeting is created successfully on my side.

The issue affects all recipients, not just specific users.

We use Google Workspace for our company email, while Teams is associated with a Microsoft account.

Is this a limitation of the Teams Essentials plan, or is there a configuration that needs to be enabled? Has anyone experienced this issue or knows how to resolve it?

Thank you.

    Hi Guilherme,

Thank you for reaching out and for taking the time to provide these additional details. I understand how disruptive this can be, especially when the meeting appears to be created successfully on your side, but none of the participants receive the invitation or see the event in their calendars.

Since your organization uses Google Workspace for company email and calendar, while Teams is associated with a Microsoft account, the two environments may not yet be fully connected. This is not necessarily a limitation of the Teams Essentials subscription. However, additional tenant configuration is required so that meeting invitations, responses, and calendar events can be routed correctly between Teams Essentials and Google Workspace.

Please ask your IT administrator to review and complete the required configuration, including:

    • Assigning the Teams Essentials subscription to the appropriate users in the Microsoft 365 tenant.
    • Making sure that each user’s Microsoft 365 account is correctly associated with their existing company email address.
    • Configuring the required Office 365 mail routes and forwarding settings.
    • Connecting Teams Essentials to the organization’s Google Workspace email and calendar system.
    • Reviewing the automatic forwarding and outbound spam policy requirements described in the documentation.

For a detailed prerequisites and configuration guidance, your IT admin may refer to this article: Connect Microsoft Teams Essentials (Microsoft Entra ID) to an existing email system with calendar

After the administrator completes the configuration, please create a new test meeting in Teams and invite one internal Google Workspace user and one external recipient. Then check whether both participants receive the invitation by email and whether the meeting appears in the appropriate calendars.

In case you do not know who is your IT admin, kindly refer to this article: How do I find my Microsoft 365 admin? - Microsoft Support

I hope this information is helpful. Please follow the information above and let me know if it works for you. If not, we can continue working together to resolve the issue.

If you found the response useful, please consider marking it as accepted, as this may help other community members who are looking for similar guidance.

Thank you for your patience and understanding. I look forward to continuing the conversation.
