How do I access my email distribution lists and allow another user to access it

If you are trying to access an existing email distribution list or allow another user to manage it, this is typically controlled by the distribution list owner or your Microsoft 365 administrator. Distribution list owners can manage group membership, and administrators can assign additional owners to help manage the list.

As an admin, you can add users or contacts to a Microsoft 365 distribution list group, so they receive group email. Use these steps to quickly manage members in the admin center. See Create distribution list groups in Microsoft 365.

First, please verify that the MyDistributionGroups role is enabled in the Role Assignment Policy assigned to the user's mailbox.

Step 1: Verify the Role Assignment Policy

1. Open the Exchange Admin Center (EAC).
2. Go to Roles > User roles.
3. Open the Default Role Assignment Policy (or any custom policy assigned to the user).
4. Under Distribution groups, confirm that MyDistributionGroups is checked.
5. If it is not enabled, check the box and save the changes.

Step 2: Verify the policy assigned to the mailbox

1. In EAC, go to Recipients > Mailboxes.
2. Select the user's mailbox you want to add.
3. Open Mailbox Features.
4. Under Role assignment policy, verify that the mailbox is assigned to the Default Role Assignment Policy.

After the change has propagated, ask the user to sign out and sign back in, then test whether they can manage their distribution groups. If you do not have administrative permissions or are not listed as an owner, you will need to contact your Microsoft 365 administrator to grant the necessary access or make the changes on your behalf.
