Managing sound and video settings during Teams meetings and calls for optimal communication
Dear @Theresa,
Based on your description, kindly try these steps:
1> Confirm the meeting opens in the Teams desktop app
When clicking the Teams meeting link, please check whether it opens in a web browser or in the Microsoft Teams desktop application.
If it opens in a browser, please select Open Microsoft Teams app or Join on the Teams app.
If prompted by the browser, please allow access to the microphone and speaker.
2> Select the correct audio option before joining
On the Teams meeting pre-join screen:
Select the audio settings or device settings option > Computer audio:
- Confirm the correct Speaker is selected.
- Confirm the correct Microphone is selected.
Try the speaker and microphone test again before joining.
3> Check Teams device settings
Please open Microsoft Teams and follow these steps:
Select Settings and more (three dots) > Settings > Devices
Under Audio settings, confirm the correct speaker and microphone are selected.
Select Make a test call to verify the audio device behavior. Manage your device settings in Microsoft Teams | Microsoft Support
4> Check Windows sound settings
In Start Menu, open Settings > System > Sound.
Under Output, select the correct speaker or headset.
Make sure the output volume is not muted.
Under Input, select the correct microphone.
Test the microphone input level.
If you are using a Bluetooth headset, please disconnect and reconnect it, then test again.
5> Check microphone privacy permissions
Please confirm that Microsoft Teams has permission to use your microphone:
In Start Menu, open Settings > Privacy & security > Microphone.
Turn on Microphone access.
Turn on Let apps access your microphone.
Make sure Microsoft Teams work or school is allowed.
Turn on Let desktop apps access your microphone.
Restart Microsoft Teams and test again. My microphone isn't working in Microsoft Teams | Microsoft Support
6> Test joining from the Teams calendar
To isolate whether the issue is related to the meeting link, please try joining the same meeting from the Teams calendar:
In Teams desktop app > Calendar > open the meeting > Join.
Test the speaker and microphone again.
If audio works when joining from the Teams calendar but not from the meeting link, the issue may be related to how the link is opening, such as browser permissions or the default app used for Teams links.
7> Clear Teams cache
Please refer to this article and clear Teams caches. Clear the Teams client cache - Microsoft Teams | Microsoft Learn
I hope the information shared helps point you in the right direction. Please try the steps above and let me know if they work. If not, we can continue working together to narrow this down.
The first response may not always resolve the issue right away, but with your help and more details, we can work toward a solution.
