Setting up future meetings with participants using Teams calendar or Outlook integration
Good day Erika,
Thank you for sharing your concern.
Please note that a Teams meeting cannot be cancelled using the meeting link alone. The meeting must still exist in the organizer's calendar in order for a cancellation notice to be sent to attendees.
Since you didn't mention whether you are the meeting organizer, here are some options you can refer to:
If you're the meeting organizer:
Option 1: Check Outlook for the meeting
Open Outlook Calendar.
Search for the meeting using the date, subject, or attendee names.
Open the meeting invitation.
Select Cancel Meeting.
Add a cancellation message if desired.
Select Send Cancellation.
This will send a cancellation notice to attendees and remove the meeting from their calendars.
Option 2: Check if the meeting was moved or deleted
If you cannot locate the meeting in Outlook or Teams:
Review your Deleted Items folder in Outlook if the meeting may have been removed accidentally.
Check Outlook on the web to confirm whether the meeting is visible there.
Verify that you are signed in with the same account that originally created the meeting.
If the meeting still cannot be found, the calendar item may no longer be available in your mailbox.
Option 3: Contact your organization's IT admin
When a meeting was originally created from your account but can no longer be located, your IT administrator may be able to investigate the organizer mailbox and determine whether the meeting still exists. In case you do not know who is your IT admin, kindly refer to this article: How do I find my Microsoft 365 admin? - Microsoft Support
If the meeting is still present in the organizer's mailbox, the administrator may be able to use Exchange Online administrative methods to remove or cancel future meetings associated with that organizer account. You can share the following article with them: Remove-CalendarEvents (ExchangePowerShell) | Microsoft Learn
When you aren't the meeting organizer, you can only remove the meeting from your own calendar. To cancel it for all attendees, please contact the organizer or your IT administrator.
I hope this information is helpful. If you have any questions or need further support, please don’t hesitate to reach out at any time.
Thank you for your patience and understanding.
