Sending, receiving, and organizing email in Outlook on the web for business
Hi SEREN
Thank you for taking the time to share your feedback. I understand your concern about the time and effort required to prepare emails with multiple images, especially when you have to resize them using another application before adding them to Outlook.
Here are some recommended options that may help improve the experience:
1/ Use Outlook's built-in image resizing options
If you insert images directly into the email body, you can resize them within the message by selecting the image and using the Picture Format > Size options, or by dragging the image's corner handles to adjust its displayed size.
For reference: Resize a picture in an email message | Microsoft Support
2/ Share large images through OneDrive or SharePoint
When working with large screenshots or multiple images, Microsoft recommends using cloud storage instead of embedding or attaching large files directly to emails.
Recommended workflow:
- Upload the images to OneDrive or SharePoint.
- Insert a sharing link into the email.
- Avoid sending large image files as attachments whenever possible.
For reference: Reduce attachment size to send large files with Outlook
3/ Consider using Classic Outlook for Windows
If you have access to Classic Outlook for Windows, it offers more advanced image handling capabilities, including the Compress Pictures feature available from the Picture Tools > Format tab.
Please note that Outlook on the web currently does not provide the same image compression functionality available in the desktop version.
Submit feedback to Microsoft
I genuinely appreciate you raising this suggestion. Automatic image compression and optimization when inserting images into emails is a practical feature that could help many users save time and streamline their workflow.
As a forum user, I hope you understand that I don’t have the ability to modify or escalate product issues directly. However, I strongly recommend submitting your feedback through the Microsoft 365 Feedback Hub > Send Feedback > Describe your proposal in detail. This is the most effective way to ensure your voice reaches the product team and can be considered about how company-only contacts are handled in search results, with potential improvements being considered for future improvements.
Once you’ve submitted your feedback, feel free to share the link here. I’d be happy to upvote it to help increase its visibility. Moreover, if you are unable to submit feedback, please inform me at your convenience. In that case, I will gladly assist by submitting it on your behalf to ensure your request is properly captured.
Additionally, as other users have raised similar concerns and may not be aware of where to share their feedback, I hope this response helps clarify the situation and suggests a potential next step. Highlighting this information can make it more visible to others in the community who may be facing the same issue, making it easier for them to find guidance and contribute their feedback as well.
Thank you again for your time and for raising this important usability concern. If you have any further questions or need additional assistance, please don’t hesitate to reach out.
Wishing you a smooth rest of your day.
