Managing meetings and events using Outlook on the web for business
Hi,
Yes, this can be achieved using a shared booking page in Microsoft Bookings. A shared booking page allows employees to schedule appointments through a single booking link, while giving you control over the services, staff members, dates, and time slots that are available. In addition, Microsoft Bookings synchronizes with Outlook calendars, which helps prevent double bookings.
To ensure employees can only book appointments during your two headshot event dates and within the designated time ranges, you'll need to configure the availability settings for the specific service you created.
You can try the following steps:
- Open Microsoft Bookings from Outlook on the web or your Microsoft 365 portal.
- Access your existing shared booking page.
- Select Services, then open the service you've created for the headshot sessions.
- Navigate to the Availability section.
- If you don't want appointments to be booked outside of the event dates, set the general availability to Not bookable.
- Choose Set availability for a different date range (or Add a different date range, depending on your version).
- Enter the first headshot event date and specify the available time range.
- Add a second date range for the other event date and configure its available hours.
- Save the changes.
Afterward, I recommend opening the booking page link in an InPrivate/Incognito browser window to verify that only the intended dates and time slots are displayed.
It's also worth noting that Microsoft Bookings allows you to define custom availability for specific date ranges, which can override the service's general availability settings. As a result, this is a useful way to limit bookings to particular event days.
Additionally, please ensure that the staff member assigned to the service is available during those times. The appointment slots shown on the booking page depend on both the service availability and the assigned staff member's calendar or working hours. Therefore, if the staff member is marked as busy or unavailable, the expected time slots may not appear.
Once everything has been saved, you can continue using the same booking page link and share it with employees. They should then only be able to book appointments within the dates and times you've configured.
