    Dear @Pankaj Kadam,

I understand that the rules you created in Outlook Classic are not automatically moving incoming emails to the correct folders.

    I recommend checking the following:

Step 1: Verify the rule is enabled

    • In File > Manage Rules & Alerts, make sure the rule is checked (enabled). User's image

Step 2: Confirm the rule conditions match the incoming emails

    • Review the sender, subject, recipient, or other conditions to ensure they exactly match the emails you expect to move.

Step 3: Check the order of your rules

    • If another rule runs first (especially one with Stop processing more rules enabled), your move rule may never be reached. Move the rule higher in the list if necessary.

Step 4: Ensure the rule is a server-side rule

    • Rules that rely only on Exchange mailbox conditions run automatically on the server.
    • Rules that use client-only actions or conditions require Outlook to be open to process incoming messages.

    Step 5: Test the rule

    • Send a new test email that matches the rule. Existing emails are not moved automatically unless you manually run the rule.

If the issue continues, please let me know:

    • Is your account an Exchange/Microsoft 365, IMAP, or POP account?
    • Which version of Outlook Classic are you using?
    • Does the rule work when you select Run Rules Now, or does it fail there as well?

In Classic Outlook, rules that move mail do not always run automatically if they are effectively client-side or if another rule is taking priority.

    Try this in order:

    1. Recreate the rule from a message
      • Right-click a message that should match the rule.
      • Select Rules > Create Rule.
      • Choose the condition and select Move the item to folder.
      • Pick a folder under the mailbox and select OK.
      • If needed, enable Run this new rule now on messages already in the current folder.
    2. Make sure the destination folder is in the mailbox, not a local data file
      • If the rule moves mail to a PST, Outlook Data File, or another local-only location, it can behave like a client-side rule and may not run automatically.
      • Recreate the rule and choose a folder under the mailbox.
    3. Check whether another rule is blocking it
      • In Outlook, go to File > Manage Rules & Alerts.
      • Review the order of rules and any rule that may process the same messages first.
      • If a higher rule is intended to handle those messages, later rules may not apply.
    4. Simplify the rule
      • Rules with simpler conditions such as sender-based move rules are less likely to have processing issues.
      • If the current rule has many conditions or exceptions, create a simpler test rule first.
    5. Create the same rule in Outlook on the web or new Outlook
      • Server-based rules are more reliable for automatic processing.
      • In Outlook on the web or new Outlook, go to Settings > Mail > Rules and create the move rule there.
    6. If the rule only works when run manually, rebuild rules from scratch
      • If rules work with Run now but not on incoming mail, that commonly indicates a client-only or problematic rule.
      • Delete the affected rules and recreate them.
    7. Last resort: clear all rules and recreate them
      • This deletes rules for all accounts in the Outlook profile.
      • Use this only if multiple rules are inconsistent and recreating individual rules does not help.

A good test is to create one simple rule: move messages from one sender to one mailbox folder. If that works automatically, the issue is usually with rule complexity, rule order, or the target folder location.
