How can you identify multiple accounts held and then confirm those which can be removed from our account and those to remain.

Many thanks in advance

    Hi

Microsoft accounts are separate, so the safest approach is to identify which account owns your Microsoft 365 subscription before closing anything.

First, use Microsoft’s username recovery page with your phone number or recovery email. It can show the Microsoft accounts associated with those details: https://account.live.com/username/recover

Then sign in to each account at https://account.microsoft.com/services. The account showing your active Microsoft 365 Home/Family subscription and billing is normally the one you should keep.

Please do not close the other accounts until you have checked whether they contain Outlook email, OneDrive files, purchases or subscriptions. Once you are certain an account is no longer required, follow Microsoft’s official closure instructions here: https://support.microsoft.com/en-us/accounts-billing/manage/how-to-close-your-microsoft-account

If this is a Microsoft 365 Family subscription, the other family members normally have their own Microsoft accounts, so those should not be deleted simply because they appear under the family subscription.

If you let me know what you see under Services & subscriptions, I can help you identify which account should remain.

Microsoft accounts cannot be merged or combined, whether they are personal accounts or personal plus work/school accounts. The practical approach is to identify which accounts exist, decide which one to keep, move anything needed from the others, and then remove or close the ones no longer needed.

To identify what accounts are in use:

    1. Check which account is the main one on the PC:
      • Open Settings > Accounts > Your info.
      • Confirm which account is the primary account to keep.
    2. Check for extra accounts on the device:
      • Open Settings > Accounts > Other users.
      • Review any additional accounts listed there.
      • If an account is no longer needed on that PC, select it and choose Remove.
    3. Check for extra email sign-ins or aliases:
      • Open Settings > Accounts > Email & accounts.
      • If the extra entry is only an added email account, remove that email instead of removing the whole Windows account.
    4. If the same email address shows a prompt such as “Which account do you want to use?”:
      • This means there are two different Microsoft identities using the same email address: a Personal account and a Work or school account.
      • To reduce that prompt, either rename the personal Microsoft account by changing its primary alias in Manage how you sign in, or contact the organization that owns the matching work/school domain so they can remove the conflicting entry.

To decide what can be removed:

    • Remove accounts you no longer use on the PC from Other users.
    • Remove extra email entries from Email & accounts if they are only sign-in connections.
    • Do not expect Microsoft to merge two accounts into one.
    • Before closing any Microsoft account, make sure any files, emails, or other data needed from that account have been moved manually to the account that will remain.

If the goal is to use multiple accounts side by side instead of deleting them:

    • Use separate Microsoft Edge profiles for different Microsoft 365 accounts.
    • Or use a browser private window to sign in to another account without switching the current browser session.
