    Hi,

    Thank you for reaching out

To provide employees with access to Word, Excel, Outlook, and other Microsoft 365 applications, you will need to create a separate user account for each employee, assign the appropriate license, and then have each employee install the applications on their computer.

To do this, please follow these steps:

    1. Check that licenses are available

    User's image

    • Confirm that you have one available license for each employee.

The subscription must include desktop applications if employees need Word and Excel installed on their computers. Microsoft 365 Business Standard, Business Premium, and Microsoft 365 Apps for business include desktop applications. Business Basic generally provides web and mobile versions rather than the installed desktop applications.

    1. Add each employee
    • In the Admin Center, go to Users > Active users.
    • Select Add a user.

    • Enter the employee’s name and create their business username.
    • Leave Require this user to change their password when they first sign in selected.
    • Choose their location.
    • Assign the appropriate Microsoft 365 license.

    • Select Finish adding.
    • Securely provide the employee with their username and temporary password.
    1. Install Microsoft 365 on each computer

Ask each employee to do the following on their computer:

    • Go to https://www.microsoft365.com.
    • Sign in using the new work email address and temporary password.
    • Change the password if prompted.
    • Select Install apps, then Microsoft 365 apps.

    • Open the downloaded installer and follow the prompts.
    • After installation, open Word or Excel and sign in with the employee’s work account to activate the applications.

I hope the information I shared earlier was somewhat helpful in addressing your question. If you have any further questions or updates, please don’t hesitate to share. I’m always happy to assist further if needed.

To give employees access to Word, Excel, and other Microsoft 365 apps:

    1. Go to the Microsoft 365 admin center at https://admin.cloud.microsoft.
    2. Start the setup wizard with Go to setup, or add users later in the admin center.
    3. Add each employee as a user.
    4. Assign each employee a Microsoft 365 apps for business license when adding them, or assign it afterward.
    5. Share the employee sign-in credentials securely.
    6. On each employee computer, have the employee sign in with the work or school account.
    7. Install Microsoft 365 apps from My account > Install Office, then select Install.

Each licensed user can install Microsoft 365 on up to five PCs or Macs.

If the employee accounts already exist but access still does not work, contact the organization’s Microsoft 365 administrator or internal help desk.
