Ok, this is SUPER helpful, truly and I'm saving your response :) The only issue that is continuing is when I delete the storage from OneDrive, even from trash it comes right back. It just won't delete. This seems to be the 'technical' issue I'm having. And it's like close to 750MB that I'm trying to delete. No joke. I did end up purchasing more storage, i.e. 1 TB. How do I resolve the issue of my files NOT deleting? As I don't want to continue to run into this issue and have to buy more storage.

I believe it's still possible to add both accounts to a Microsoft 365 Family or Microsoft 365 Premium plan to get a terabyte of storage for each account.

    Hi!

When you run out of space, you must either delete data or purchase more storage.

However, it is important to check what is consuming storage in the account that is full.

    • Go to the OneDrive website > Log in to the account that is full > Click on "My files" > Check for folders such as Desktop, Documents, and Pictures.
    • In the top-left corner, under the Photos and Files options, click on "Photos" and check if there are photos linked from another device.
    • In the bottom-left corner, under Storage, click on the blue text > This will show what is consuming the most storage. Check what is using the most space and let me know.

For personal Microsoft accounts, the practical fix is to choose the OneDrive account to keep using, then get the over-limit account back under quota or stop using it.

    What is happening:

    • A Microsoft account can be created with either an Outlook.com address or a Gmail address.
    • It is possible to end up with two separate personal Microsoft accounts, each with its own OneDrive.
    • If the Gmail-based account is over storage, OneDrive files become read-only and new files cannot upload, edit, or sync. Outlook.com mail can also be affected by cloud storage limits.
    • After 6 months over quota, Microsoft may delete that OneDrive and the files are non-recoverable.

    How to resolve it:

    1. Sign in to the Gmail-based OneDrive account, since that is the one tied to OneNote usage.
    2. Check what is using space in that account:
      • Open OneDrive and go to Manage your OneDrive storage or Storage used.
      • Review the largest files.
      • Empty the Recycle Bin, because Recycle Bin items count toward OneDrive storage.
      • Remove any shared folder copies that are counting against that account, if applicable.
    3. If space still is not enough, buy more storage for that same account.
    4. If the OneDrive app on Windows is signed into the wrong account, unlink and sign in again with the Gmail-based account that has the notebooks.
    5. If account mix-ups continue, verify which account is active in OneDrive on the PC. If needed, unlink the PC and sign in again with the correct account.

    Important limitation:

    • Two personal Microsoft accounts cannot be merged into one.
    • Subscriptions and storage stay with the account where they were purchased.
    • If only one account is needed long term, keep the preferred account and manually move files from the other account as needed.

If the goal is to keep using the Gmail-based account for OneNote:

    • Free space in that Gmail-based OneDrive first, or add storage to that same account.
    • Then make sure OneDrive on Windows is signed in with that same Gmail-based Microsoft account.

If help is still needed after checking storage and account sign-in, use Contact Microsoft Support for personal accounts.
