Multilevel lists in Word (2024)

I have gone to the trouble of setting up a 'Harvard Style' (I. A. 1. a. ...) in Word. Have done so with each version I've ever had. Done EVERYTHING I've ever been told to do to save it to the normal template or where ever it is actually saved. Next time I go back in to use it. GONE. This is frustrating and should not be so hard.

WHAT DO I ACTUALLY NEED TO DO TO SAVE THAT MULTILEVEL LIST IN PERPETUITY?

You can either open Normal.dotm directly and create the list style in it, or you can create the list style in a document and use the Organizer to copy the list style to Normal.dotm. Here is Microsoft's page on how to open Normal.dotm to modify it: Change the Normal template (Normal.dotm). And check the first answer on this page to see how to open the Organizer utility: Finding the Organizer

Here is Shauna Kelly's classic article about how to create list styles: How to create numbered headings or outline numbering in Word. In this example, she names the list style Headings. If you use the Organizer to copy the styles to Normal.dotm, you must copy the list style and the paragraph styles that are used in the list style.

Word does not provide a supported “save this multilevel list forever everywhere” mechanism in the material provided. What is supported is saving the numbering setup as a list style or applying it to new documents based on a template.

For a setup like I. A. 1. a. ..., use this approach in the desktop Word app:

    1. Select the text or numbered list to change.
    2. Go to Home > Paragraph > Multilevel List > Define New List Style.
    3. Give the style a name.
    4. Choose the starting number and the level formatting you want.
    5. Set the font, numbering style, symbol/image if needed, and indent.
    6. For persistence, choose New documents based on this template.
    7. Select OK.

If the issue is that pressing Enter causes numbering to disappear on the next paragraph, check the paragraph style behavior:

    1. In the Style Gallery, right-click the numbered style.
    2. Select Modify.
    3. Check Style for following paragraph.
    4. If it is set to Normal, change it to the same numbered heading style so the next paragraph keeps the numbering style.

If the multilevel list itself exists but Tab does not move items to the next level:

    1. Go to File > Options > Proofing > AutoCorrect Options > AutoFormat As You Type.
    2. Make sure Set left and first indent with tabs and backspaces is selected.

If Word is repeatedly prompting to save changes to Normal.dotm, that can indicate a separate problem with the Normal template, an add-in, or even a macro virus. The documented causes include:

    • add-ins affecting Word startup
    • problems with Normal.dot or Normal.dotm
    • possible macro virus infection

In that case, fixing the template/add-in issue is necessary before expecting settings saved to the template to behave normally.
