I created a large manuscript in a 5.5" x 8.5" publishing template using MS Office Word 2007. I now have MS Office 2024. When I open the document, all fonts, spacing, etc. have been revised. How do I restore the document to its original format?

Work with a COPY of your document.

It looks to me like your document has the setting "Update document styles to those in template."

This is found on the Developer Tab under the Document Template button. If the box is checked for that, uncheck it.

Then check the Document Theme. This is done under the Design Tab. Look for the Office 2007-2010 Theme.

    Try applying that theme.

If that helps, great. If not, look for the Office 2003 Theme and try that.

Your situation arises because the paragraph styles and fonts that you used in Word 2007 don't match the paragraph styles and fonts of Word 2024. For example: The Heading 1 that you used in Word 2007 is different from the Heading 1 in Word 2024. You may have customized the paragraph styles and fonts of Word 2007 to suit your document, but even if you didn't do that, Microsoft changes the default paragraph styles and fonts of Word over time to match current consumer tastes. You also customized the page margins (to 5.5" x 8.5"). You'll have to re-create all that in Word 2024.

To make the document look exactly the same in Word 2024 you have two choices:

1- Change the paragraph styles and fonts of Word 2024 to match what you had in Word 2007. That will work, but it will also apply those paragraph styles and fonts to new documents in Word 2024, and your documents may look 'old'.

2- Embed the paragraph styles and fonts of your document. That 'locks' the paragraph styles and fonts that you used in Word 2007 to that document alone. That could be a better choice for you, because it will make your document look the way you created it while allowing you to apply Word 2024's updated paragraph styles and fonts to new documents. To embed the paragraph styles and fonts in your Word 2007 document, open the document in your copy of Word 2007 and do this:

    1 - Go to File > Options.

2 - Select the Save tab on the left.

3- Scroll down to the bottom and check the box for Embed fonts in the file

4 - Check the sub-box for Embed only the characters used in the document or uncheck it if you plan to edit the text with those fonts on Word 2024 - which will make the file considerably larger.

5 - Select OK and save the document.

That will go a long way toward making your document look the same in Word 2024, but you will have more work to do if you also customized the page settings in Word 2007 like margins and paragraph spacing. You'll have to re-create those in Word 2024. For example, you'll have to change the margins to 5.5" x 8.5". These changes will apply only to your document.

And, you know, you could also re-format your document with Word 2024's paragraph styles, fonts and page settings.

Open the document in Word 2024 and first check whether it is still in Compatibility Mode. Compatibility Mode preserves the layout of documents created in earlier versions of Word.

    1. Open the document.
    2. Look at the title bar for Compatibility Mode.
    3. To confirm the exact mode, go to File > Info > Check for Issues > Check Compatibility > Select versions to show.

If the document is no longer behaving like the original Word 2007 file, use these steps:

    1. Keep the file in the older format while editing for layout fidelity
      • A document created in Word 2007 is designed to retain its layout in Compatibility Mode.
      • Converting it to the newer format can change how some content behaves and can make editing harder for older-version formatting.
    2. Check page-break behavior
      • A known difference between Word 2007/2010 and earlier-format handling is that page breaks and paragraph marks can be treated differently, which can change layout.
      • In Word, go to File > Options > Advanced.
      • Under Compatibility Options for, choose either the current document or all new documents.
      • Expand Layout Options.
      • Select Split apart page break and paragraph mark.
      • This is the documented workaround for layout differences involving page breaks.
    3. Verify the file format
      • If the document was saved in an older format, try File > Save As and save a copy in the format needed for the workflow.
      • For sharing with older Word versions, Word supports saving as formats such as .doc or .rtf.
      • If the file is being opened in Word for the web, use the desktop app instead, because Word for the web can only save as .docx, .pdf, or .ODT.
    4. Check the page setup after opening
      • Since the manuscript was built for a 5.5" x 8.5" publishing layout, compare the current document’s page size, margins, fonts, and spacing with the original template settings. A different template or default settings can change layout when content is reopened in a new document.

If the problem is that all new documents or reopened files are using the wrong default font rather than only this manuscript, reset the default formatting in Word’s template settings instead of changing the manuscript content directly.
